The Student Finance team within SFS supports the financial well-being of students through a comprehensive approach to student accounts, payments, collections, and departmental relations. The newly realigned Student Finance team reflects a commitment to integrated service, sustainable operations, and strategic support for internal and external partners. Position Summary The Student Finance Business Analyst (SF-BA) serves as a cross-functional operations and project specialist, supporting the core functions of Student Finance-student accounts, payments, collections, and school/department support-with a primary focus on department relations, student finance system and operations support, reconciliations, and project management. This position ensures continuity and service excellence across multiple functions while proactively supporting system workflows, donor award compliance, and department collaborations. The SF-BA provides project coordination, financial reconciliation, and user support in a high-volume, cross-functional environment, working closely with Enrollment teams, SFS, Advancement, ITS, and academic departments. This position reports to the Director of Student Finance within SFS and collaborates closely with team leads for Student Accounts, Payments, Collections, and Department Relations. This is a Hybrid position requiring to be in Charlottesville VA at minimum once a week. This position will not sponsor VISA's now or in the future. Responsibilities Cross-Functional Student Finance Operations
Develop and maintain strategic relationships with various departments to enhance collaboration and support for department processes, awarding activities, and cross-functional projects. Provide operational support across Student Finance functions with a focus on systems reconciliations and compliance. Ensure accurate processing and reconciliation of student charges, payments, and departmental awards in alignment with institutional policies. Manage student payments and charges, reconciliations, analysis, and all student finance-related activity. Serve as a support specialist regarding student and University departmental accounts, reconciliations, and relationships focused on school/department support. Assist in review and reconciliation of third-party sponsor accounts, military benefits, and agency payments. Support the resolution of account activity questions from students, parents, and University stakeholders.
Department / School Relations & Systems Support
Act as a systems super user and consultant for department aid administrators using Blackbaud Scholarship Management and related tools. Serve as a liaison for departments and schools on graduate and undergraduate department aid activities. Provide customer service support through CRM (Salesforce) as needed. Coordinate and train department users to enhance awarding accuracy and compliance. Provide reporting guidance. Collaborate with SFS, Advancement, and ITS to improve departmental fund stewardship and ensure data integrity.
Project Management, AI Integration, & Special Initiatives
Lead or support Student Finance projects, including process improvement, automation, and initiative rollout. Drive continuous improvement initiatives to streamline workflows and elevate service. Explore and apply artificial intelligence tools and agentic systems to synthesize data, surface trends, automate repetitive workflows, and improve decision-making. Develop and maintain AI-assisted templates, dashboards, and bots that streamline operations and reporting. Lead special projects aimed at streamlining workflows, award management, and department relations. Oversee implementation of awarding enhancements and special programs. Manage shared resources such as the Department Aid Users Group (DAUG) site and knowledge materials.
Compliance & Stewardship
Ensure compliance with regulations, institutional policies, and award agreements. Conduct periodic reviews to ensure integrity of operations (e.g., audits, ARMICS) and awarding processes. Support donor-funded program stewardship with data and system support for impact reporting and recipient communication. Recommend and test improvements to award management systems and workflows.
Minimum Qualifications
Bachelor's degree in a related field. Minimum 1-3 years of experience in financial aid, student accounts, or business systems in higher education. Relevant experience may be considered in lieu of a degree; with out a Bachelors degree, 5-7 years of experience is required. Knowledge of student billing, payments, collections, and awarding operations. Demonstrated project coordination or management experience. Familiarity with systems such as PeopleSoft, Workday, Blackbaud/AcademicWorks, Qlik, Salesforce, or similar. Excellent interpersonal, organizational, and problem-solving skills.
Preferred Qualifications
Master's degree in business, public administration, education, or related field. Experience supporting system implementations or finance process redesign. Lean, Six Sigma, or other process improvement training. Curiosity about or comfort working alongside artificial intelligence tools and agentic systems to enhance workflows, reporting, and decision-making.
Physical Demands This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs. Position Type & Work Location
