Senior Project Coordinator: This is where you come in.
We're looking for a Senior Project Coordinator to be a key operational partner to the Service Special Projects Account Manager Team. In this elevated role, you will not only handle complex administrative and project coordination tasks but also mentor new coordinators, drive process improvements, and take ownership of department-wide growth initiatives. You'll serve as one of the first points of contact for customers submitting quote requests, ensuring exceptional communication, accuracy, and timeliness in every interaction.

There will be performance standards set by management and company policies you'll be expected to adhere to. Top deliverables in the first year to be a hero:

  • Complete, route, and manage all assigned leads, both external and internal, in an accurate and timely manner
  • Route and process all project write-ups, change orders, warranties, and startup reports within established timelines
  • Assist in all preliminary aspects of the project sales process as requested by the Account Executive Team (including PO requests, service job assistance, site visit scheduling, and project schedules)
  • Prepare and present weekly/monthly reports, such as winning emails and sales updates
  • Proactively identify and implement process improvements across the SSP Project Coordination team
  • Mentor and assist in onboarding new SSP Sales and Project Coordinator employees
  • Complete at least one MacTed Course annually to support business unit growth, process development, or technical HVAC knowledge

The Senior Project Coordinator role reports to Jessica Storm - SSP Project Coordination Manager on a collaborative team working on high-visibility projects and initiatives that directly impact the success of our business. You'll work closely with all levels and functions within the organization, influencing both day-to-day operations and long-term process strategies.

  • A track record of keeping pristine file organization and managing multiple priorities in fast-paced environments
  • Expertise in coordinating team meetings, training, events, and process documentation
  • Proficiency in Adobe Acrobat and Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint
  • Minimum 2 years of administrative experience; project coordination or mechanical industry experience preferred
  • Knowledge of HVAC or plumbing systems a plus

Compensation: $34/hour to $44/hour
