Job Summary

Coordinates the administrative process for the Center for Internet Augmented Research and Assessment (CIARA), within the Division of Information Technology, that includes pre-award and post-award administration activities of grants and contracts awarded to the University. Works with the Grant Administrator III, Research Professor-Assistant VP of CIARA and Principal Investigators on the most efficient ways to achieve an effective quality proposal and coordinates a timely submission process, ensuring appropriate approvals. Monitors budgets and spending, process expenditures, and provides ethical management of funds. Manages travel activities.

  • Assists with the complex pre-award and post-award administration of grants for CIARA by assisting the Assistant Vice President of Technology Augmented Research (AVP) with the submission of research proposals.
  • Assists the Grants Administrator III by serving as a liaison between the Principle Investigators and the Office of Research and Economic Development to assist the AVP/PIs with the completion of all post-award requirements for grants, including generating and implementing subcontracts and sub-awards and submitting payroll forms to allocate effort to the key personnel on each grant.
  • Provides support for internal operating procedures for CIARA including budgetary spreadsheets, payroll and payroll allocations, asset management and travel arrangements.
  • Reconciles credit card expenses. Ensures reconciliations are completed in a timely manner and that all documentation and procedure requirements are met. Serves as the University credit card user for departmental transactions. Also verifies and reconciles university credit card charges for CIARA staff on a timely basis. Maintains accurate records of all charges for auditing purposes. Assures compliance and adherence to University credit card policies and procedures.
  • Reviews and reconciles all expenditures in final closeout of projects. Generates expenditure reports on grants for monthly, quarterly, and annual reporting to the sponsors.
  • Assists the Grant Admin III to prepare weekly budget reports, budget projections, and other reports related to the operations of CIARA.
  • Manages all aspects of travel for CIARA, including standard travel requests, vicinity travel, and travel-related P-Card purchases. Ensures all travel processes comply with university policies and are completed in a timely manner.
  • Maintains and updates the CIARA Travel Projection Sheet to track estimated future travel and encumbrance entries, and prepares concise travel summaries by project for reporting and planning purposes.Oversees and maintains the Travel Training Request Folder to support internal training and ensure compliance with travel-related procedures.
  • Schedules and coordinates appointments, video and teleconferences for the Center's Grant Administrator III, AVP and senior personnel as required.
  • Interacts professionally with non-English speakers from Latin America and the Caribbean in support of CIARA's international research initiatives.
  • Handles cash/checks transactions on a daily basis or as needed.
  • Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to this position.
  • Assists the Grants Administrator III in evaluating expenditure documents in accordance with federal, state, and university guidelines. This includes processing requisitions in PantherSoft, preparing Smart Bills, and managing invoice payments. Coordinates with vendors to ensure timely procurement of goods and services and assists with the FIU Vendor Application process as needed.
  • Collaborates with FIU departments such as the Controller's Office to ensure the timely submission of vendor applications, quotes, sole source justifications, agreements, and all documentation required for purchase orders and asset management. Process agreements in FIU's Total Contracts Management system, ensuring all requirements are met for approvals and signature
Minimum Qualifications

Bachelor's degree and one (1) year of related experience; OR five (5) years of related experience ; OR an equivalent combination of relevant education and/or experience.

Departmental Requirements

FIU - Research Administrators Certificate Course (RACC) must be completed within 3 months of hire.

  • Ability to speak and write in Spanish a plus.
  • Experience managing budget.
  • Knowledge of contract and/or grant administration.
  • Experience in Finance and/or Accounting.
