Business Unit Overview

This position is part of Novanta's Corporate and Shared Services global teams. Novanta's Corporate and Shared Services teams play an important role in executing the company's strategic mission and operations. Included in Corporate and Shared Services are the business functions including Finance, Accounting, Human Resources, Information Technology, Legal, Compliance, Corporate Development and Corporate Marketing. The Corporate and Shared Services teams work closely with all Novanta business units to support operating initiatives contributing to the organization's financial success.

Summary

As a Senior Accounts Payable Specialist, you will be responsible for the accurate and timely processing of vendor invoices. Additionally, this role will respond promptly and professionally to requests from both internal and external customers.

Primary Responsibilities

  • Process both 3-way match and non-PO invoices in a timely manner to ensure payments are processed according to established payment terms.
  • Process invoices from scanned invoice images and route for approval as needed.
  • Work with Supply Chain for invoices on hold (missing receipts, price discrepancies, etc.) for resolution.
  • Prepare and process payment runs (checks, ACH, wire transfers) in a timely manner. Also, credit card processing.
  • Review vendor statements to ensure accounts are kept current and all credits have been processed.
  • Review unvouchered receipts and request missing invoices.
  • Follow all corporate accounting policies and procedures to ensure SOX compliance.
  • Support annual 1099 preparation.
  • Assist with month end closing activities and special projects as required.
  • Intercompany invoice processing

Requirements

  • 5+ years of high-volume accounts payable experience in a manufacturing environment
  • Oracle or similar ERP system experience preferred
  • Experience working with a 3rd party outside processing system that auto matches invoices preferred.
  • Strong computer skills and proficient in the use of Microsoft Excel, Word and Outlook
  • Highly motivated self-starter who can work independently as well as in a team environment
  • Excellent organizational skills with the ability to multi-task and work effectively in a fast-paced environment while meeting established deadlines

  • Ability to use vison to read computer screen and read printed materials
