Description

Front Desk Reception:



  • Greet visitors and guests in a warm and friendly manner, providing excellent customer service.
  • Manage incoming calls, transferring calls to the appropriate departments or taking accurate messages.
  • Maintain a neat and organized reception area, ensuring a welcoming environment.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Schedule appointments and manage conference room bookings.


Administrative Support:



  • Provide administrative assistance to various departments, including managing calendars, scheduling meetings, and arranging travel itineraries.
  • Assist with document preparation, data entry, and maintaining records and files.
  • Conduct research and compile information as requested.
  • Coordinate and organize office events, meetings, and conferences.
  • Assist with inventory management and ordering office supplies.


Communication and Correspondence:



  • Respond to inquiries, emails, and correspondence promptly and professionally.
  • Communicate effectively with internal staff, families, and all other stakeholders.
  • Assist in drafting and proofreading documents, reports, and presentations.


Office Operations:



  • Collaborate with various departments to ensure smooth office operations.
  • Coordinate with IT and facilities management for equipment maintenance and repairs.
  • Monitor and maintain office supplies and inventory levels.
  • Assist in implementing and improving office policies and procedures.


Qualifications:



  • High school diploma or equivalent; additional certification or associate's degree in office administration is a plus.
  • Proven experience as an administrative assistant, receptionist, or in a similar role.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), Canva, google suites, and other office software.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Attention to detail and problem-solving skills.
  • Ability to multitask and prioritize tasks effectively.
  • Professional demeanor and strong customer service orientation.
