Hunter Hamilton is seeking a driven Operations Coordinator to join our client's team on-site in Madison, WI. If you thrive in a fast-paced, service-focused environment and bring strong administrative skills, this could be the opportunity for you!


What You'll Do:

As an Operations Coordinator, you'll be the go-to person for processing parts requests, customer orders, and inquiries with accuracy and urgency. You'll play a vital role in ensuring the right materials are quoted, ordered, and delivered on time.


Key Responsibilities:


  • Review and process purchase orders (POs) from customers



  • Research and resolve inquiries for parts (replacement, foreign, obsolete, inactive)



  • Prepare and manage returned goods paperwork and issue credits/debits



  • Provide accurate quotes to customers and resolve order discrepancies



  • Respond to customer inquiries via phone and email in a high-volume environment



  • Coordinate with internal teams to meet service expectations



  • Lead or support special projects and process improvements




What You Bring:


  • 2+ years of administrative experience (required)



  • Service industry experience (construction, HVAC, pest control, etc.) is a plus



  • Intermediate Excel and MS Office skills



  • Strong attention to detail and ability to manage multiple priorities



  • Comfortable reading and interpreting technical drawings/specs



  • Excellent written and verbal communication skills



  • Proven experience in customer service with high call volume
