Job Description

The incumbent will play a pivotal role in assisting senior leaders with day-to-day activities, maintaining organized schedules, facilitating effective communication, and managing deliverables and meeting obligations. You will join our Construction Management Department, supporting project delivery of Ramboll's Municipal Water/Wastewater Infrastructure construction projects.

As our new Management Support Specialist, you will be part of the Construction Management team that support project delivery of Ramboll's Municipal Water/Wastewater Infrastructure construction projects. Your key tasks and responsibilities include:

  • Administrative Support: Maintain senior leaders' calendars, schedule meetings and travel arrangements, and handle confidential information with discretion. Additionally, draft professional and accurate communications and serve as a liaison between senior leaders and stakeholders, providing clear and timely communication.
  • Meeting Coordination and Event Planning: Attend meetings with senior leaders, take diligent notes, track deliverables, and follow up on action items. Also provide logistical support for events, organize venues, materials, and coordinate catering services when required.
  • Project and Document Management: Monitoring the progress of various tasks and projects, managing deadlines, and maintaining organized documentation and records. Utilize document control systems for better organization and support senior leaders in maintaining an efficient workflow.
  • Financial Administration and Vendor Coordination: Assist with budget tracking and financial reporting, process invoices, expense reports, and purchase orders with accuracy and compliance. Act as a liaison with vendors and suppliers to ensure timely delivery of goods and services and manage contracts and agreements.
  • Data Analysis and Technology Management: Compile and analyze data to support decision-making processes, prepare reports and presentations, and manage software tools and systems used in project management. Provide technical support and troubleshoot issues for team members as needed.
  • Training and Stakeholder Engagement: Organize and coordinate training sessions and professional development activities for team members, maintain records of training completion and certifications, and facilitate engagement with stakeholders, including community partners, government agencies, and clients. Organize outreach activities to enhance stakeholder relationships.
Qualifications

  • 3+years of experience in an executive support role or similar position.
  • Excellent organizational and time-management skills with the ability to multitask effectively.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • High level of discretion and confidentiality.
  • Ability to work independently and as part of a team.
  • Experience in coordinating projects and events.

Additional skills, certifications, and qualities that will help you succeed in this role include:

  • Bachelor's degree in a related field.
  • Prior experience working within construction contracts.
