Position Summary

Reporting to the HR Manager, HRIS & Operations, the Payroll Associate serves in a vital role of ensuring payroll is completed timely on a biweekly basis. This role supports employees who are located in over 30 states, with meticulous attention to detail to protect employee's livelihood and organization financial health.

The Payroll Associate is responsible for managing the compilation of timekeeping and payroll information, paying employees, data reporting, and ensuring compliance with Deriva policy and regulatory requirements. The associate will work in partnership with our external managed payroll provider and interact with our Benefits, Recruiting, Compensation and Absence team members. This role will also work closely with Information Technology, Finance and Accounting departments to ensure success of the payroll process. The Payroll Associate also works closely with the Finance and Accounting team to ensure all accounting and reporting deliverables are met. The Payroll Associate is continually responsible for providing a high-quality level of customer service to both management and the Company's employees.

Key Responsibilities

  • Ensures payroll processes are efficient, accurate, and compliant with relevant laws and payroll tax obligations.

  • Manage and maintain Workday Timekeeping and Payroll modules including system updates and optimization.

  • Participate in release testing and ongoing enhancement projects.

  • Manages employee inquiries regarding timekeeping and payroll as applicable and in a timely fashion through Sharepoint and shared payroll inbox.

  • Enters, maintains and/or processes information in the payroll module including employee's hourly rates, salaries, retros, commissions, bonuses or other compensation, time worked, paid leave, deductions and withholdings, and tax updates, address changes and other information.

  • Helps to align company strategy with pay policies.

  • Pays employee wages, regular pay, overtime, bonuses, commissions, shift differentials, holidays as well as uploads of additional employee deductions and agency hours from external software/vendors, as directed by leadership.

  • Ensures proper processing of payroll deductions for taxes, benefits, and other deductions.

  • Process leave of absences in accordance with company policy.

  • Stay up to date with year-round federal and state tax deduction updates.

  • Process annual incentive payments according to plan provisions.

  • Reconciles payroll and paid leave to the general ledger ensuring transactions align correctly. May also audit accounts to identify and address any irregularities.

  • Prepares relevant management reports by compiling summaries of earnings, taxes, W2s, deductions and advances. Produces additional ad hoc reports as necessary or requested.

  • Oversees compliance with statutory reporting and filing requirements. Studies existing and new legislation, enforcing adherence to requirements and advising management on needed actions.

  • Supports all internal and external audits related to payroll, 401K, and workers compensation.

  • Analyses and understands information, past practices, and business objectives to make appropriate recommendations to management and assigned customers.

  • As a member of a lean HR organization, all HR employees must act as backup to one another. This would include assisting Total Rewards & Benefits Analyst and HR Analyst with regard to processing status changes, compensation changes and terminations, and Talent Acquisition Specialist regarding processing new hires and rehires.

Required/Basic Qualifications

  • Bachelor's degree, or high school diploma/GED and four (4) or more years of relevant experience.

Desired Qualifications

  • Five (5) or more years of hands-on processing of multi-state payroll experience.

  • Experience with Workday preferred.

  • Knowledge of payroll functions including preparation, balancing, internal controls, and payroll taxes.

  • Strong technical payroll and payroll system working knowledge along with documentation of policies and controls.

  • Ability to work with databases and organize and synthesize large amounts of payroll data.

  • Meticulous attention to detail.

  • Excellent organizational, prioritization and time management skills

  • Strong analytical skills

  • Excellent customer service.

  • Proficiency in Microsoft Office Suite applications.
