Job Purpose
The Administrative Assistant provides support to the Parts Center Manager and Management Team. This position maintains POs and PRs regarding billing and accounts payable and supports and monitors budget accounts. This position also coordinates with Compensation and Benefits in regard to open Full time and Part time headcount requisitions.
Key Accountabilities
- Make Purchases for the warehouse and office and maintain proper inventory levels of supplies. Work with vendors to secure supplies for the Parts Center as needed. Monitor all budget information regarding billing and accounts payable/Submit POs and PRs as needed.
- Maintain uniform account to include ordering of initial and replacement uniforms, as well as monitoring allowable credit per associate based on annual ordering volumes
- Support associates 'administrative requirements to include payroll discrepancies, shift changes, vehicle ordering, UMA support for WMS system, ITSM system requests for computer access, etc.
- Input all Worker's Compensation claims, while maintaining the highest level of confidentiality regarding medical related information
- Assist in onboarding of new hires by coordinating and participating in orientation process and help in submitting any paperwork needed
- Coordinate daily all Torrance Campus IDRs and Employee Purchase pickups from the Parts Center
- Miscellaneous office tasks including filing. Manage Records Retention for the Torrance Parts Center
- Maintain and provide certain various operational reports weekly, monthly and yearly as needed to support the business
Qualifications, Experience, and Skills
- High School Diploma or General Equivalency Diploma
- Associate's Degree or Equivalent working experience is preferred
- One to three years of experience in supporting administrative functions
- 1-3 years of experience in supporting administrative function
- Proficiency in all Microsoft Office Applications
- Flexible, adaptable and demonstrated ability to work in team environment
- Excellent written, verbal and interpersonal communication skills
- Must be able to communicate at multiple levels
- Proven ability to work with operating budgets
- Broad knowledge of accounts payable/purchase order/purchase requisition functions
- Knowledge of applicable state and federal laws regarding FMLA, State Disability, Worker's Compensation
- Organizational skills are a must
