Job Description
Weichert Referral Associates is hiring a Referral Conversion Specialist in Morris Plains, NJ. The Referral Conversion Specialist is responsible for increasing the success rate of referral placements by actively supporting and guiding them from the initial agreement to closed real estate transactions. The Referral Conversion Specialist plays a critical role in ensuring consistent communication, accountability, and follow-up between clients, sales agents, and referral agents.
Job responsibilities include, but are not limited to, the following:
Sales & Client Management:
- Acts as the primary point of contact once a referral placement is completed, ensuring all parties (Sales Agent, Referral Agent, and Client) are introduced and engaged.
- Distributes introductory emails confirming their role in providing support and contribution to facilitate a seamless transaction.
- Initiates follow-up within three days of a new referral placement to verify that the client and sales agent have established contact.
- Conducts touch-base calls or emails with clients to assess satisfaction with the agent and verify the referral is progressing in alignment with their real estate needs.
- Monitors and tracks all active referrals, sending periodic update requests to ensure status is current and accurate.
Referral Oversight & Conversion Tracking:
- Updates referral status in the system, including marking referrals as pending and entering all relevant transaction information.
- Conducts weekly follow-ups with sales agents who have not provided recent updates; ensures that no referral placement goes without an update for more than 30 days.
- Collaborates with Referral Coordinators to reassign referrals as needed to ensure optimal client-agent fit and maximize conversion opportunities.
- Verifies upcoming closing details and ensures all necessary documentation is prepared and accurate.
- Reviews and monitors pending Weichert Company transactions to identify opportunities for further support or intervention.
- Performs other duties as assigned.
Requirements
- High school diploma or GED
- College degree preferred, especially in business, communications, or a related field
- Must have an active state issued real estate license
- Minimum (3) three years of experience in real estate, referral services, or client relationship management is preferred
- One (1) year of experience in a business or customer service environment is a plus
- Strong communication and interpersonal skills; capable of building rapport with agents, clients, and partners
- Detail-oriented with excellent follow-up and organizational abilities
- Proficiency in CRM systems, referral tracking software, and Microsoft Office Suite
- Ability to work independently while managing multiple referrals and priorities
- Comfortable working independently, as well as part of a team
- Ability to multitask in a fast-paced environment
- Knowledge and ability to use typical office equipment
The estimated base salary range for this position is from $45,000 to $65,000 (annually). The rate of pay offered will be dependent upon several factors including but not limited to the candidate's relevant skills, education, work experience, job location/geographic region, and/or certifications.
