Position Overview
Graduate Enrollment Management (GEM) reports to the Vice Provost for Enrollment Management. Enrollment Management includes the following functional units: Graduate Enrollment Management, Office of Undergraduate Admissions, Financial Aid and Scholarships, Student Lifecycle Technology, the Office of the University Registrar, and Enrollment Marketing Communications. The Graduate Enrollment Management unit collaborates closely with the Office of Graduate Studies to ensure that policies for graduate admissions are upheld, and that prospective students, applicants, and program faculty and staff are supported during the graduate application and admission process.
More than perhaps any other factor, the degree to which a university attracts and retains qualified students determines the success or failure of that institution. The Enrollment Management division is a key player in this activity and has a profound effect on the institution's success. The Graduate Admissions team in GEM provides application, credential evaluation, and admission support for roughly 75 graduate departments, which includes support for domestic and international applicants and applicants to on ground, hybrid, online programs, and Competency Based Education (CBE)/Jayhawk Flex programs.
The position reports to the Assistant Director and features a wide range of administrative support work. The primary responsibility of this position is to support applicants, incoming students, faculty, and graduate program staff by reviewing and processing graduate applications for minimum university requirements and performing international credential evaluations. This position requires excellent data entry skills, attention to detail and the ability to operate in multiple software systems while prioritizing daily tasks to accomplish unit goals.
Job Description
70% - Admission Evaluation and Processing
- Serve as admissions liaison with all Lawrence and Edwards campus academic schools and departments
- Interpret Office of Graduate Studies policies to evaluate degree-seeking, certificate-seeking, non-degree seeking, and re-enrollment applications for minimum requirements for admission into a graduate program and process decision on behalf of the Vice Provost for Academic Affairs and Graduate Studies
- Review academic institution accreditation and recognition of status on applications recommended for admission
- Verify and confirm authenticity of academic documents submitted with graduate application
- Assign appropriate admission status according to Graduate Admissions requirements, which includes entering applicant data into Enroll and Pay, and making corrections to applicant records
- Prepare detailed international credential evaluations for graduate departments, which includes an examination of institutions and credentials, dates of attendance, and conversion of individual course grades to an overall U.S. equivalent grade point average
- Coordinate with International Support Services (ISS) to triage inquiries about immigration documents for international students and share information with prospective students, applicants, and programs as needed
- Based on guidance provided by the Office of the University Registrar, assign initial residency, which has significant impact upon the rate of tuition the applicant will pay
- Place enrollment holds when applicable for final, degree conferring official transcripts, Watkins Health Center, Applied English Center and International Support Services, and release holds for official transcripts upon receipt of appropriate documentation
- Oversee and conduct daily application download from the Slate Graduate Instance into Enroll and Pay, and facilitate daily application load of processed admissions from the admissions database into Enroll and Pay
- Correspond with faculty and staff on the use of the online application review system and admissions processes
25% - Office and Data Entry Support
- Update application and Enroll and Pay records as needed with information including but not limited to education information, term changes, acceptances/declines, KU advising reports, and English proficiency
- Respond to application-related queries in the main Graduate Admissions' phone and e-mail accounts
- Assist with processes and procedures related to receipt of official, final degree-conferring educational transcripts
- Provide support for Assistant Director in regular audits of application data
- Support unit objectives regarding development and maintenance of standard operating procedures (SOPs) and training
5% - Other duties or special projects as assigned by the Assistant Vice Provost/Director of Graduate Enrollment Management or other leaders in unit.
Position Requirements
This position requires on-site training. After successful completion of training and demonstration of mastery of tasks, the work location may become hybrid, with some in-office work and some at-home work.
Required Qualifications
- High School diploma or GED equivalency.
- Two years' experience in skilled clerical, accounting, auditing and/or administrative support work, including one year of experience with basic office computer systems.
- Demonstrated strong communication and organizational skills, as evidenced by letter of application and work history.
- Strong written, verbal, and interpersonal communication skills, as evidenced in application materials and interview.
- Outstanding customer service orientation, as evidenced in application materials.
Preferred Qualifications
- Bachelor's degree
- Knowledge of KU and graduate programs' admission requirements, policies, and procedures, as evidenced in application materials.
- One year experience with the Slate CRM and application systems
- One year experience with KU systems, including Enroll and Pay
