Summary:

Supports general business operations by providing office administrative support activities for the AK Facilities Engineering department. Performs a range of clerical tasks including supporting employee travel, timekeeping reports, answering phones, and other administrative work.

ESSENTIAL FUNCTIONS

  • Assists with the administrative functions for the facilities engineering department including but not limited to answering phone calls and emails, employee travel booking and logistics, time keeping and reimbursements, shipping, and a variety of clerical and administrative services.
  • Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
  • Utilizes professional communication and phone skills.
  • Must be able to work with Microsoft Office Suite (Office, Word, Excel, and PowerPoint).
  • Support SAP data entry for material ordering, tracks materials, and provides regular status updates to division managers.
  • Tracks and enters training certificates into learning management systems as requested by supervisor.
  • Maintains ongoing contact with employees, local vendors, and customers which may vary by location.
  • Updates and maintains various programs as prescribed by supervisor.
  • Transport employees and goods between work location as needed.
  • Uses excellent organizational and records management techniques.
  • Responds to and resolves administrative inquiries and questions.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Adheres to all company policies and procedures.
  • Reports all personnel-related issues to immediate supervisor.
  • Performs other related duties as assigned.

ADDITIONAL RESPONSIBILITIES

  • Acquires knowledge of Trident's Environmental and Safety Policies by completing required training programs and performing designated work activities in accordance with training and procedures/work instructions.
  • Notifies designated personnel of any environmental or safety incidents or risks not previously documented, in accordance with Environmental Awareness and/or safety trainings.
  • Supports, promotes, and ensures work and progress alignment with the department's overall vision, objectives, and end goal.
  • Will be required to travel to shore operations, recruiting events, and trades schools as needed. No more than 15% of the year.

Minimum Requirements

MINIMUM QUALFICATIONS

  • High school diploma or general education degree (GED); and three to six months related experience and/or training; or equivalent combination of education and experience.
  • 1+ year experience in applications of Microsoft Office - Outlook, Excel, Word, PowerPoint, and Access. Strong organization skills, and ability to prioritize while handling multiple tasks in a timely manner.
  • Valid driver's license.
  • Clear and effective written and verbal communication and strong interpersonal skills.
  • Able to work both independently and within a team generating results with general/minimal guidance.

PHYSICAL DEMANDS

Sedentary work that primarily involves sitting. Ability to stand or walk on one's feet. May be required to kneel, bend, twist, or crouch. Ability to lift an object weighing 10 pounds from one level to another or carrying the object to another area. Required to enter text or data into a computer or other machine by means of a keyboard. Specific vision abilities required by this job include close vision, distance vision, depth perception, color vision and the ability to adjust focus. Requires the ability to hear, understand, and distinguish speech or other sounds.

ENVIRONMENT

This position is indoors in a climate-controlled space. Will be interacting with Trident employees. No adverse environmental conditions expected. While performing the duties of this job, the employee is regularly required to read, speak, write, and understand English, and to use customer service skills. The employee is frequently required to use interpersonal and teamwork skills. The employee is occasionally required to use creativity, independent judgment, discretion, and problem analysis.
