Position Summary:

The Accounts Payable Supervisor is responsible in leading the day-to-day initiatives of A/P. This task encompasses reviewing and monitoring the accuracy of the team, train, assist and lead the team and work with IT on related system enhancements, performing monthly close requirements, and ensuring all activities are performed within PCA's corporate audit requirements. In addition, the position interacts with the plants/mills and corporate employees to resolve any discrepancies or assist in the process of getting PCA's suppliers paid within terms, accurately.

Dimensions:

This is a high-volume department which processes approximately 200-1000 supplier checks per day for corporate cost centers and our plants/field. In addition, the department is responsible for annual tax compliance forms and provide documentation to the business as needed for audits, monthly account closing, and support system initiatives as directed by our IT project team.

Principle Accountabilities:



  • Lead a team of Accounts Payable associates to ensure responsibilities are completed to role expectations.
  • Support the team with questions as it relates to training and unusual circumstances preventing payments to suppliers.
  • Complete daily pay cycles for PCA and related divisions.
  • Review daily error logs and correct as needed. This includes G/L errors, vendor set-up issues, payment terms and other accounting-related corrections.
  • Research and void possible duplicate payments to ensure suppliers are paid correctly.
  • Interact with plants and corporate departments / suppliers for complex issues not addressed by department staff.
  • Complete and oversee vendor registrations, ACH set-ups, mill approvals, returned check resolution and voiding of checks as required.
  • Complete month-end close responsibilities in multiple systems which includes closing and opening fiscal periods, ensuring all payment runs are processed, reports run and reviewed for errors including A/P trial balances, exception reports and interact with Corporate Accounting as needed for any journal entries.
  • Support the IT and Financial Systems teams for system enhancements, troubleshooting and system testing for new patches or enhancements to existing processes that require system changes.
  • Support the integration of acquisitions.


  • Assist with the year-end preparation of 1099 tax forms and corrections for state and federal filings.
  • Back-ups the A/P Manager role as needed and daily responsibilities of the overall A/P team.
  • Address questions required by audit, Corporate Accounting, Executive leadership or plants/mills.
  • Know and follow policies and procedures of the company, share information that would benefit other members of the team and find ways to improve the delivery of service to our customers.

Decision Making:

The A/P Supervisor must be able to comprehend and understand the requirements of the role and take a strong fiscal responsibility in ensuring that all requirements are met to pay its suppliers. This includes monitoring for fraudulent activity, checking the accuracy of the team and follow up on any IT related matters and escalate as required in the event of an outage or other known concern.

Interactions:

This role interacts with our suppliers, PCA plants and mills, corporate employees within finance and other functional areas such as IT and HR on a regular basis. It is important this individual has strong verbal and written communication skills and the ability to always interact in a professional manner.

Position Requirements:



  • Position requires three to five years of related experience in an A/P function for a medium - large organization; with leadership experience and some college preferred.
  • Ability to always interact professionally with both internal departments / plants / mills and PCA's external suppliers.
  • Strong written and verbal communication skills with the ability to communicate to multiple audiences and purposes.
  • Strong analytical skills with a great attention to detail.
  • Strong interpersonal skills with the ability to network and build relationships with individuals of various experience and corporate levels.
  • Previous experience using a large-scale ERP such as OracleCloud, PeopleSoft and/or AS/400.
  • Solid working knowledge of PC applications including Word, Excel, and Outlook.
  • Capable of being an independent thinker focused on achieving aggressive timelines and understanding of prioritization.
  • Ability to work in a fast-paced environment and handle multiple requests simultaneously.
  • Previous work experience as a member of a team, or a strong understanding of the importance of open communication and information sharing between team members.
  • Ability to work overtime as required by the daily/weekly workload and during month end.
  • Must be able to travel as necessary and possess a valid U.S. driver's license.
