Your Role:

This role is the gatekeeper of Vital Farms ways of working and a driver of communication and change management. The primary responsibility is to ensure that the Senior Leadership Team (SLT) can focus on their top priorities by taking care of all proactive planning, executive support and cross-company collaboration. Administrative tasks include scheduling meetings, domestic and international travel arrangements, and preparing expense reports. Reporting to the Chief of Staff, this role will be remote and will need to travel to support company events and other in-person meetings as requested.

What You'll Do:



  • Serve as a trusted partner of the SLT to provide strategic and operational support
  • Manage and coordinate the SLTs' calendars, including scheduling appointments, meetings, and conferences and preparing executives for meetings
  • Own and manage the planning for the all-company calendar to support operational and organizational efficiency and promote cross-functional collaboration
  • Act as a liaison between the executives and other departments, clients, and stakeholders
  • Collaborate with your peer EA and work with the Chief of Staff to create and implement systems that promote efficiency and efficacy in the way SLT and our next-level leaders work together
  • Support the management and coordination of limited aspects of board and committee meetings including scheduling prep and review meetings for board materials, updating and coordinating decks, managing pre-reads and any follow-up details as needed
  • Support in budget planning and management as requested by the Chief of Staff
  • Prepare and distribute meeting agendas, minutes, presentations, and other relevant documents as needed
  • Coordinate travel arrangements and accommodations for the executives and visiting guests
  • Process expenses and maintain accurate expense reports and budget reconciliation for the SLT
  • Plan and coordinate company events, including conferences, and employee recognition events
  • Assist with special projects and initiatives as requested by the Chief of Staff or SLT member(s)
  • Maintain a high level of confidentiality and professionalism in all interactions


What You Bring to the Table:



  • Bachelors degree preferred
  • 5+ years of executive administrative experience supporting multiple C-Suite executives
  • Strong interpersonal skills are essential, with a high degree of sensitivity for confidentiality.
  • Ability to travel 10-15% for company meetings and events, team meetings and onboarding trips
  • Excellent verbal and written communication with the ability to effectively tailor messages to the audience (crew up through executives and external stakeholders)
  • Ability to organize, prioritize, and manage multiple and varied projects simultaneously and independently under general instructions.
  • Display excellent computer skills in MS Office programs of Word, Excel, and PowerPoint; with the ability to learn new applications.
  • Prior experience with Concur or similar travel and expense management system
  • Knowledge of proper formats for letters, reports and presentations; proper grammar, spelling, and language usage; ability to produce neat, accurate correspondence and reports.
  • Must be able to perform duties under stress of short deadlines, plus adapt to changing duties and responsibilities.

At Vital Farms, compensation decisions are dependent upon a variety of factors, which may include, but are not limited to, skill level,experience, education, training, market demands, and business needs.A reasonable estimate of the current starting annual base salary for this position is $80,000- $100,000. Please keep in mind that hiring at the maximum end of the range would not be typical in order to allow for potential continued future salary growth.
