Equipment Coordinator

Purpose
The Equipment Coordinator ensures efficient deployment and tracking of equipment, with a focus on fleet optimization, to support field operations, while maintaining accurate records and assisting with maintenance, reporting, and resource planning across construction projects.

Focus and Scope
Essential duties and responsibilities, i.e. those which are basic, necessary, and an integral part of the job, are indicated below.
  1. Coordinate closely with field personnel and dispatch to support equipment needs and ensure timely deployment to project sites.
  2. Review weekly equipment utilization and on-rent reports to validate efficient use and proper allocation of resources, then use those reports to initiate actions to correct underutilization of company assets and overutilization of outside vendor equipment.
  3. Evaluate equipment requests submitted through the Tenna/Dispatch system, prioritizing the use of company-owned assets and recommending preferred rental vendors when necessary.
  4. Monitor the repair and down status of the equipment owned to forecast availability and proactively support field operations.
  5. As directed, serve as the logistics and maintenance point person for all equipment within the company. Maintain accurate records of equipment locations to identify and recommend the nearest available units.
  6. Assist in the coordination and seasonal deployment of long-term rental (LTR) equipment.
  7. In conjunction with supervisor, commence the preparation and processing of off-highway equipment slated for disposal.
  8. Track warranty coverage for all company-owned equipment to ensure cost-effective maintenance and repair decisions.
  9. Generate reports on rental spending to analyze trends and recommend cost-effective practices. Prepare control and cost reports, assisting in the preparation of cost studies.
  10. Oversee the tracking service history and preparation of preventive maintenance reports to promote equipment reliability and compliance. Administer and verify completion of all on-going maintenance activities according to company benchmarks and performance metrics.
  11. Communicate with field and craft personnel to coordinate service needs for assigned equipment.

Role Qualifications & Qualifications

Education:
  • Associate's degree or equivalent combination of training, education, and experience.
Experience and Industry Expertise:
  • Minimum of three years of resource allocation or similar experience required.
  • Experience in heavy equipment allocation preferred

Specific Job Requirements:
  • Successful completion of pre-employment drug, alcohol, and background investigation
  • Current on all company required safety and regulatory training
  • Ability to preserve confidential and proprietary information and successfully avoid conflicts of interest
  • Comprehensive knowledge and/or willingness to learn heavy equipment needs and use
  • Strong skills in resource allocation and decision making
  • Excellent communication skills: verbal, written, presentation, facilitation and listening
  • Solid understanding of the construction industry, specifically in heavy civil/infrastructure
  • Strong ability to use rigorous logic and sound reasoning to solve difficult problems
  • Ability to plan and manage projects
  • Use of e-mail to communicate with internal and external customers and vendors
  • Good knowledge of Microsoft Office Suite (HCSS, Vista, and Tenna desirable)

Equipment Used, Physicals Demands, and Work Environment

Equipment Used:
  • General office equipment, telephone, automobile, personal protective equipment (i.e. safety glasses, hearing protection) when visiting plants.
Physical Demands & Work Environment: The physical demands and work environment characteristics are representative of those that must be met by an employee to successfully perform the essential functions of this job.   • Physical: Sitting for long periods of time working on the computer or attending meetings. Job site visits require walking on uneven ground, steep slopes, and exposure to extreme temperature and/or humidity. Some lifting of materials and equipment up to 50 lbs.
  • Work Environment: Typical office environment with adequate temperatures and lighting, low levels of noise. Demands of meeting tight deadlines. Exposed to the conditions of job sites which can include loud noise, dust, fumes, and extreme weather conditions prevalent at the time. May work various hours, including early mornings, dusk or evenings.

HOURLY BASE SALARY RANGE:
$33.65 - $47.12
The range displayed reflects the range the company reasonable expects to pay for the position. The actual base salary is subject to variation due to the role, level, geographic location, relevant education, training, or experience, among other factors.
