Summary of Job Duties:The Institutional Assistant (Finance Operations Manager) in the Workforce Development Center reports to the Executive Director of Workforce Development and provides administrative and clerical support for financial operations at UA Little Rock. This position is integral in ensuring accurate and efficient processing of financial documentation and administrative functions. Qualifications:

Required Education and/or Experience:

  • A bachelor's degree from an accredited institution of higher education or equivalent experience;

  • Experience in accounting, budgeting, or a related field;

  • Basic computer proficiency, including Microsoft Office Suite and/or Google Workspace.

Preferred Education and/or Experience:

  • Experience with Workday;

  • Prior administrative or clerical experience, in particular with finance.

Job Duties and Responsibilities:

  • Budget management duties including budget building, tracking, reporting, record keeping, and grant budget reporting via Workday and departmental systems;

  • Writing, sending, and collecting vendor contracts;

  • Completing Workday tasks such as general procurement, invoicing, acquiring purchase orders, reconciling expense reports, and assisting with travel organization;

  • Communication duties including preparing and disseminating print materials;

  • Assist Workforce Development Center personnel with Workday tasks;

  • Monitor access to sensitive or restricted materials, ensuring compliance with privacy and security protocols;

  • Assist with tracking and maintaining records of trainings and inventory;

  • Attend training sessions and workshops to improve skills and knowledge related to finance and Workday use;

  • Perform some general office tasks including filing, copying, and data entry;

  • Assist in organizing and maintaining physical and digital records;

  • Support departmental events, meetings, or special projects as assigned;

  • Prepare documents, reports, or presentation materials using Microsoft Office or Google Workspace;

  • Run errands on campus or perform light physical tasks such as setting up meeting spaces;

  • Assist with other administrative or support tasks as assigned by Executive Director.

Knowledge, Skills, and Abilities:

  • Knowledge of accounting principles and database management;

  • Excellent communication skills and demonstrated professionalism;

  • Ability to manage spreadsheets;

  • Ability to work independently;

  • Ability to multitask, be organized, and to be detail oriented;

  • Ability to comprehend and assimilate technical and business-related documents;

  • Ability to conduct research and prepare reports;

  • Accountability/Dependability: Accept responsibility for the quality of your work; acknowledge and correct mistakes. Show up on time, and meets standards, deadlines, and work schedules;

  • Teamwork: Promote cooperation and mutual support to achieve goals and encourage participation and mutual support;
