Job Title: Accounting Specialist

Location: Torrance, CA (Onsite)
Work Hours: 9a - 6p
Reports to: Accounting Manager
Summary:
The Accounting Specialist/ Associate will play a key role in ensuring the accuracy and efficiency of the accounting operations. You will be responsible for maintaining accurate financial records, supporting daily accounting operations, and ensuring smooth financial processes.
Responsibilities:
* Collaborate with the accounting team on daily tasks and workflow.
* Examine and accurately post accounts payable invoices and receipts.
* Prepare and execute scheduled payments (ACH, credit cards, e-checks), ensuring proper documentation.
* Track departmental expenditures against budgets and maintain comparison reports.
* Generate and issue sales invoices precisely and on time.
* Support the receipt and application of incoming payments, including working with collections when needed.
* Accurately record and reconcile eCommerce sales (e.g., Amazon) and deductions, maintaining inventory records.
* Manage incoming physical mail for timely distribution within the accounting department.
* Review and verify customer and vendor profiles in the accounting system, applying updates.
* Serve as a key contact, communicating with other departments and external parties to resolve discrepancies and inquiries.
* Analyze financial statements (e.g., aged payables/receivables), identifying and reporting issues to Management.
* Maintain organized accounting documentation, including commission agreements and lease contracts.
* Participate in auditing physical inventory counts for products, materials, and assets.
* Maintain an up-to-date asset list and generate tags for new assets.
* Actively participate in month-end close procedures and reporting, including reconciliations, accruals, and in-transit entries.
* Provide comprehensive support to other accounting department members.
* Undertake other projects and duties as assigned by the finance department.
Qualifications:
* Bachelor's degree in Accounting, Finance, or a related field; or an associate's degree combined with relevant experience.
* 1-3 years of experience in an accounting or bookkeeping role.
* Proficiency with accounting software (e.g., QuickBooks, NetSuite, SAP, etc.).
* Strong Microsoft Excel skills.
* Experience with payment processing methods (ACH, credit cards, e-checks).
Core Competencies and Soft Skills
* High level of accuracy and attention to detail. This is paramount for tasks like verifying invoices, posting entries, and reconciling accounts.
* Strong organizational and time management skills. The role involves handling multiple tasks, deadlines, and maintaining various documents.
* Excellent communication skills, both written and verbal. The individual will need to communicate with team members, other departments, and outside contacts.
* Ability to work independently and as part of a team. While they work with team members, they also need to manage individual tasks.
* Problem-solving abilities. They'll need to identify and resolve discrepancies and inquiries.
* Discretion and ability to handle confidential information. Accounting roles often involve sensitive financial data.
Preferred (but not required)
* Familiarity with eCommerce sales platforms (like Amazon).
* Experience with inventory management.
* Knowledge of GAAP (Generally Accepted Accounting Principles).
