This is a fast-paced position that provides total support for the North America West Regional Leadership Team. This position performs the administrative functions required associated with persons having executive-level responsibilities within the company accurately, timely and in a well-organized manner. Responsible for handling confidential business, privileged, and/or time-sensitive material under the direction of the supervising executive. Prepares written materials including letters, memoranda, and reports under the direction of the supervising executive. Relies on experience and judgment to plan and accomplish goals.

Essential Duties and Responsibilities

    Become familiar with Geosyntec operations, systems, policies and procedures;
  • Serve as a central point of coordination between the leadership teams. Manage President's calendar, and calendars of RLT members as requested, which requires interaction with the Executive Leadership Team (ELT), the RLT, other internal staff, eternal stakeholders and other executive assistants, as applicable, to coordinate a variety of complex meetings; Maintain calendar appointments and deadlines to ensure proper accountability and that all deadlines are observed;
  • Maintain discretion and confidentiality in all aspects of the role, particularly regarding personnel matters, strategic decisions, and sensitive communications.
  • Support team-wide initiatives, such as planning off-sites, all-hands meetings or leadership communications.
  • Coordinate logistics related to setting up various meetings for the President and RLT;
  • Arrange travel schedule and reservations for RLT members, as requested;
  • Attend RLT meetings (virtual and/or in person) and other requested meetings, take meeting minutes, work with the President or designee to identify action items from the meetings and support action item follow-up;
  • Prepare and approve expense reports and timesheets on behalf of the President and RLT members, if requested; Work with RLT to manage basic budgets and reconciliation, include preparing cost estimates for events and travel, in coordination with the accounting team/RFD.
  • Develop and communicate accurate, relevant and timely information on behalf of the President or RLT in a professional manner;
  • Read and analyze written communications to determine significance and collect information to facilitate the President's and/or RLT's review;
  • As requested, respond to email, phone calls and instant messages on behalf of the President or RLT;
  • Write and edit highly visible internal communications such as e-mails, draft memos, and prepare communications on behalf of the President and RLT;
  • Assist with preparation of presentation material, reports and other documents of varying complexity and confidentiality prepared by others, as needed, utilizing Microsoft Word, Excel, PowerPoint, and Access. Conduct research, compile data, and prepare background materials for consideration and presentation by President of the Region or RLT;
  • Work independently and within a team on special non-recurring and ongoing projects. Act as intermediary on behalf of President or RLT; Track key deliverables and commitments across the RLT and help ensure follow-up and delivery.
  • Draft, design, and word process general correspondence, memos, charts, tables, graphs in line with company guidelines. Proofread for spelling, grammar and layout, making appropriate changes. Be responsible for accuracy and clarity of final copy;
  • Anticipate needs and proactively manage priorities across multiple leaders. Prioritize and manage multiple projects simultaneously and follow through on issues to resolution in a timely manner;
  • File and retrieve corporate documents, records, and reports; and
  • Other tasks and responsibilities as required.


Skills, Experience and Qualifications

  • High School diploma and 10 years of executive level administrative experience; or any equivalent combination of experience and training that provides the knowledge, skills and abilities to perform the responsibilities of the position. (required)
  • Advanced proficiency in the use of office equipment and the most recent release of MS Office. (required)
  • Knowledge of operations, accounting procedures and administrative policies and procedures. (required)
  • Ability to efficiently and effectively manage individual workload including ability to independently prioritize and deal with tight timeframes and conflicting demands. (required)
  • Familiarity with project management concepts and applications: (v) ability to manage multiple tasks simultaneously. (required)
  • Ability to effectively work on and/or lead teams. (required)
  • Proficiency and professionalism in the delivery of a delightful client experience for both internal and external clients. (required)
  • Must have excellent communication skills which facilitate effective verbal and written communication internally and externally. (required)
  • Projects professional demeanor and demonstrates punctuality, dependability, good organization, accuracy, attention to detail, and multi-tasking skills. Able to follow-through on all tasks timely, to work without close supervision, and to accomplish objectives under tight time
  • Ability to deal with multi-faceted complex interpersonal situations involving employees, regulatory or review personnel, supervisors, or subordinates. (required)

  • Valid U.S. driver's license and a satisfactory driving record for business travel. (required)
