Position Summary:
We have an exciting opportunity to join our team as a Administrative Assistant.
In this role, the successful candidate will be responsible for providing a broad range of administrative support. Primarily responsible for coordinating the administrative responsibilities for the Anesthesia Technicians. Uses judgment and discretion to accomplish tasks within deadlines. Plans and coordinates work, project milestones as needed. Reports to the Administrator, Department of Anesthesiology, Perioperative Care and Pain Medicine.
Job Responsibilities:
MyTime Timekeeper
- Monitors Anesthesia Techs daily time in MyTime (KRONOS).
- Enters and removes staff on and off Leave in MyTime.
- Makes Historical edits in MyTime (Missed sign in, etc.)
- Follows-up with Techs for unexplained lateness and absences.
- Makes Historical edits in MyTime (attendance policy violations).
- Works with NY Life for responses to FMLA time off.
- Tracks and maintains required doctors note, sick call pattern, etc.
HR Liaison
- Liaison with HR and Labor Relations regarding Anesthesia Techs staff matters.
- Drafts letters to Techs related to warnings and labor relations matters.
- Monitors Corrective action, attendance, compliance, etc.
Compliance Monitoring
- Tracks BLS certifications
- Coordinates educational In-services review and attendance (sign in).
- Tracks required compliance completion, flu vaccine, annual training, etc.
Scheduling
- Coordinates last minute vacation request and updates schedule planner.
Other
- Maintains current roster of Anesthesia Techs, vacancies and recruitment efforts.
- Other assignments requested by Administrator and Supervisor.
Minimum Qualifications:
To qualify you must have a Associate's degree in a related field. Minimum of three years of related experience in an administrative support role or the equivalent combination of education and experience. Proficient in the use of Microsoft Office Word, Excel, and Access. Ability to develop moderately sophisticated spreadsheets; set up routine computer procedures; resolve simple software/hardware problems. Ability to access e-mail, electronic calendars, and other basic office support software. Effective oral, written, communication, interpersonal and customer service skills. Ability to proofread documents and write clear, concise first draft. Ability to type at a speed of at least 50 net words per minute. Ability to multi-task while paying attention to detail. Ability to exercise administrative judgment and assumes responsibility for decisions, consequences, and results.
Preferred Qualifications:
Bachelor's degree.
Qualified candidates must be able to effectively communicate with all levels of the organization.

Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
