Job Summary:

The Customer Service Assistant (CSA) is an in-person position helping the Office of Undergraduate Enrollment provide excellent customer service to all prospective and readmit students. The CSA sits at our front desk, serving as a first point of contact for online, phone, and visitor requests. The role also serves as a backup to our visit and event specialist. Finally, with a keen eye for customer service, the CSA will take the lead on creating a hospitable environment for guests and staff in the office, including clerical work like preparing student materials, tracking inventory, maintaining the department calendar, and updating our CRM. Specific goals and expectations will be communicated in writing upon employment.

Job Description:

First Point of Contact:

  • Serves as the first point of contact for prospective students and their families who visit NEIU. Provides personalized and professional customer service for callers, guests to the office, and website visitors wishing to reach admissions.

Outreach:

  • Prepares and sends out mailings as assigned (e.g. an admitted student packet to admitted students, shortly after they are admitted). The role also monitors and stocks recruitment publications in the display cases across campus.

Clerical Support:

  • Provides clerical support to the admissions staff, which includes preparing folders and materials for campus recruitment events (Open Houses, Preview Days, group visits, etc.). Also includes support to the physical space (contacting facilities when something needs to be fixed or disposed of).

Calendar Management:

  • Organizes and manages front desk operations for recruitment staff and student workers. Responsible for creating/managing coverage through a master office calendar.

Back up support:

  • The CSA assists prospective students with basic needs/questions, but also backs up admissions counselors when they are not available to assist a student. The CSA also supports and backs up the visit/event specialist as needed.

Inventory:

  • Update our inventory of supplies, giveaways, and collateral monthly. Alert Director if supply is running low.

Minimal Qualifications:

1.High school diploma or equivalent.

2. Any one or combination totaling eighteen (18) months from the following categories:

A. College coursework in any discipline as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)

  • Associate's Degree (60 semester hours) equals eighteen months (18 months)

  • 90 semester hours equals two (2) years (24 months)

  • Bachelor's degree (120 semester hours) equals three (3) years (36 months)

B. responsible work experience in customer services, public relations, office administration, business and financial operations, healthcare administration or other closely related experience

Departmental Preferences:

  • Associate's Degree (or equivalent amount of post-secondary education).

  • Minimum 2 years of work experience in a customer or student facing role.

  • Minimum of 2 years of combined experience in hospitality, reception, office management, or similar roles.

  • Understanding of NEIU's diverse student profile and what challenges a typical prospective student might be facing.

  • Positive attitude, strong work ethic, able to stay calm in the busyness.

  • Able to learn quickly.

  • Similar role at a college/university.

  • Knowledge of NEIU's offices and procedures.

Salary / Hourly Rate Range

$18.00
