Job Description

The Utilities Manager is responsible for leading the overall utility compliance operations and oversees a team of specialists. This role provides strategic direction, ensures service excellence, and plays a key role in improving the resident experience through proactive issue resolution and continuous process improvement. The Utilities Manager acts as a subject matter expert, owns escalations, and works cross-functionally to implement scalable solutions. They thrive in a fast-paced environment, are passionate about operational excellence, and excel at building high-performing teams.

Essential Duties and Responsibilities include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by supervisory personnel.

  • Lead and oversee resolution of complex utility escalations, ensuring service level agreements are consistently met while driving cross-functional accountability for timely issue resolution.

  • Build and maintain strong partnerships with third-party utility vendors (e.g., Conservice), proactively monitoring performance, addressing service gaps, and driving ongoing workflow optimization.

  • Design, implement, and oversee continuous process improvement initiatives related to utility setup, compliance, and exception management, with a focus on scalability and resident satisfaction.

  • Serve as the primary liaison to internal departments for utility operations, facilitating effective communication, problem-solving, and alignment on cross-departmental priorities.

  • Directly supervise, mentor, and develop Utilities Specialists, providing guidance on processes, tools, vendor protocols, and performance expectations.

  • Review, analyze, and report on utility activation and exception data, identifying trends and systemic issues; develop action plans to mitigate risk and enhance service delivery.

  • Collaborate with leadership on the evaluation, implementation, and enhancement of resident-facing technologies to improve operational efficiency and the resident experience.

  • Support Sustainability and ESG program initiatives by tracking and reporting on utility-related performance metrics, contributing to transparency and long-term program goals.

  • Oversee validation and reconciliation of utility activation reports, ensuring accuracy of vendor-provided documentation and data integrity across systems.

  • Maintain comprehensive documentation and standard operating procedures (SOPs) for all utility workflows; represent the Utilities function in cross-functional project teams and strategic initiatives as a subject matter expert

Qualifications:

  • Proven leadership experience, with the ability to motivate, develop, and support team members while driving accountability and high performance.

  • Strong understanding of utility activation processes, compliance requirements, and vendor management best practices.

  • Advanced problem-solving skills, with a proactive approach to identifying and resolving operational challenges.

  • Excellent interpersonal and communication skills, with the ability to build strong working relationships across departments and with external partners.

  • Highly organized, detail-oriented, and able to manage multiple competing priorities effectively and independently.

  • Strong analytical mindset, with experience interpreting data and identifying trends to drive process improvements.

  • Proficient in Microsoft Office Suite; experience with reporting and operational tools preferred.

  • Ability to adapt to a constantly evolving environment while maintaining a focus on service excellence.

  • Passion for customer service, resident satisfaction, and operational excellence, with a commitment to continuous improvement.

Minimum Requirements:

  • 5+ years of experience in customer service, utility operations, or property management

  • Demonstrated success in leading teams and managing vendor relationships in a high-volume, fast-paced environment.

Salary Range

Placement within this compensation range will be determined by the candidate's knowledge, experience and skills.

$50,440.00 - $75,660.00
