As a Project & Development Services (PDS) Operations Project Coordinator at JLL, you will play a crucial role in supporting a development and construction program as part of the Project Management Operations (PMO) team with administrative tasks. The PMO team is dedicated to enhancing operational efficiency, providing support to JLL and the client, and delivering superior results in a timely manner. Your strong organizational skills with attention to detail is essential to drive results and will be instrumental in supporting your team to deliver innovative, industry-changing projects.

Responsibilities

  • Responsible for project setup and maintenance across various platforms including Smartsheet, PlanGrid, and TRIRIGA
  • Manage the addition of new team members and vendor contacts to various platforms such as Smartsheet, PlanGrid, TRIRIGA, and SharePoint
  • Coordinate and oversee ordering of site surveys and water tests for all projects
  • Facilitate onboarding and training for new team members on program platforms, processes, and tools
  • Contribute to resource allocation by maintaining accurate resource availability data and reports
  • Effectively communicate program updates and process changes through email and Microsoft Teams
  • Maintain and promptly update the program's vendor contact list
  • Submit and track support tickets across various platforms, ensuring timely resolution of technical issues and system access requirements for the team
  • Contribute to the development and maintenance of program documentation, including fillable PDFs, reports, and Smartsheet dashboards
  • Create, maintain, and update Smartsheet reports for team members and leadership
  • Support the tracking of program key performance indicators (KPIs), milestones, and deliverables, while proactively identifying and escalating potential issues or risks to leadership
  • Organize meetings, prepare agendas, take notes, and follow-up on action items
  • Upload final project photos to the client's designated database upon project completion
  • Assist with managing a diverse portfolio of numerous projects across various stages and complexities
  • Provide comprehensive support to the PMO team in addressing inquiries, requests, and special initiatives
  • This list provides an overview of key responsibilities; however, additional duties may be required as the position evolves

Required qualifications:

  • Bachelor's degree from an accredited institution preferred
  • 2+ years of relevant experience in project or program management and data tracking
  • Attention to detail and analytical mindset, with the ability to identify and resolve issues proactively
  • Comfortable with short deadlines and driving results in fast-paced environments
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively
  • Adept at leveraging technology and enthusiastic about learning new systems
  • Results-driven problem solver, capable of identifying and delivering strategic solutions for clients
  • Excellent team player with strong collaborative skills and the ability to interact with executive level internal & external clients
  • Proactive and professional communicator across multiple channels, including Microsoft Teams, email, phone, and in-person
  • Proficiency with Microsoft Office products

Preferred qualifications:

  • Experience working with cross-functional teams in a multinational environment
  • Strong problem-solving skills and the ability to think creatively to overcome challenges
  • A positive attitude and a passion for continuous learning and professional growth
  • Experience with Smartsheet, SharePoint, TRIRIGA and/or PlanGrid is a plus
