Job Overview & Responsibilities

The Proposal Coordinator will play a pivotal role in managing the end-to-end proposal process for multiple proposal responses. The Proposal Coordinator will collaborate closely with cross-functional teams (sales, contracts, legal, and technical SMEs) to produce proposals that meet client requirements and contribute to the growth of our business. This position requires a take charge, detail-oriented individual with exceptional project management skills and a clear understanding of proposal development best practices. This is a highly interactive role, working with a variety of stakeholders across the organization to coordinate activities and schedules to meet challenging deadlines.

Responsibilities and Essential Duties:

    Assist in producing specific proposal artifacts required for the third-party delivered opportunities
    • SOWs
    • Pricing tables
    • Assumption statements
    • T&Cs
  • Work with the Program Management Office to build an appropriate amount of management time required and develop delivery plan within Salesforce
  • Ensure proposals and presentations are brand compliant.
  • Deliver professionally produced proposals within customer defined compliance and timeframes.
  • Coordinate, review, organize, and edit proposal input from various stakeholders to improve clarity: involves contributions from product and consulting sales teams, contracts/legal, partners, and finance.
  • Manage proposal response schedule and engage in proposal knowledge management processes.
  • Assist in writing the proposal narrative and leverage current proposal boilerplate content.
  • Work in close cooperation with other areas of the organization.
  • Complete other proposal projects assigned, as needed.


Qualifications

Minimum Education and Experience:

  • Bachelor's degree in marketing, communications, graphic design, English, journalism is preferred, or similar relevant experience in lieu of a degree.
  • Over 2 years of experience analyzing RFXs, developing proposal documents (matrices, schedules, templates, etc.), facilitating final document review, coordinating proposal governance/sign-off, and delivery of completed proposals.
  • Expertise in using job-related software applications, including Adobe Acrobat Pro and Microsoft Office Suite with advanced skills in MS Word and intermediate experience with MS Excel.
  • 1-2 years' business experience, preferably in IT public sector industry.
  • APMP membership/certification is preferred.
