The Alumni Association at West Virginia University is currently accepting applications for a Membership Coordinator.

About the Opportunity

Reporting to the Vice President of Alumni Relations, the Membership Coordinator is responsible for managing membership processing, events, plans, campaigns, customer response and benefit/service partners for the WVU Alumni Association membership program. To fulfill the duties of the position, the Membership Coordinator interacts directly with vendors, service providers, University staff, Foundation staff, students, alumni and Association members.

What You'll Do



  • Serves as the primary liaison between the organization and its members.
  • Implements short- and long-range membership marketing and stewardship plans.
  • With the plan as the guide, collaborates with the Director of Marketing and Communications and Marketing Specialist to facilitate the development of multi-media membership marketing materials and the identification of target audiences.
  • With the plan as the guide, collaborates with the Director of Marketing and Communications and Marketing Specialist in the development and execution of campaigns designed to increase membership.
  • Collaborates with UE partners on membership related initiatives including but not limited to the Executive Director of Marketing, Marketing Strategist, and Editor of the WVU Magazine.
  • Cultivates relationships and partnerships with internal membership stakeholders including but not limited to WVU schools, colleges and units.
  • Maintains working relationships with and serves as the staff liaison to industry vendors used in the execution of membership onboarding, benefits and stewardship activities.
  • Negotiates and manages agreements with membership vendors and service providers.
  • In collaboration with the Director of Marketing and Communications and Marketing Specialist, consistently audits and updates the Association's membership web presence and user experience.
  • In collaboration with the Director of Marketing and Communications and Marketing Specialist, assists with membership communications including print, email and social media.
  • Evaluates existing and emerging membership markets.
  • In consultation with the VP, contributes to the development of membership program performance goals and associated metrics.
  • Stays abreast of program revenue and headcount goals and assists in developing action plans to generate additional memberships when needed.
  • Analyzes data to determine and make recommendations about membership trends.
  • Creates, administers and analyzes surveys of members and non-members to inform the membership program.
  • Cultivates relationships with other alumni relations membership personnel across the country to learn best practices.
  • Makes recommendations for membership pricing and levels.
  • Ensures that systems are established and in place to respond to member needs within a defined response period.
  • Anticipates and reacts to problems, providing solutions for current and potential members.
  • Serves as a sounding board and makes recommendations for constant improvement based on feedback from members.
  • Processes membership and constituent information updates.
  • Collaborates with the Foundation in the processing of memberships.
  • Collaborates with the Foundation to ensure appropriate recording and updating of constituent, membership and financial records.
  • Maintains records for the membership program.
  • Provides regular membership reporting.
  • In collaboration with the Events and Programs Specialist, plans and executes events and activities for current and prospective members.
  • Assists with membership directory and oral history projects.
  • Provides support as assigned to other engagement initiatives.

Qualifications

  • Bachelor's degree in a related field.
  • A minimum of one (1) year of relevant experience.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.
