Posting Summary
Rutgers, The State University of New Jersey, is seeking a Sr. Program Administrator (Recruiting Programs & Employer Engagement) for the Career Exploration and Success. Reporting to the Associate Director of Recruiting Initiatives & Operations, this position oversees daily operations of the CES Interview Suite and front office at the Busch Student Center, coordinates campus-wide employer visibility efforts-including networking and information sessions-and supervises undergraduate student colleagues supporting recruiting logistics. The role also manages a dedicated program budget, enforces service policies, resolves real-time scheduling issues, and contributes to special projects and university initiatives that enhance the student-employer engagement experience at Rutgers-New Brunswick.
Among the key duties of this position are the following:


  • Interview Suite & Employer Logistics Management - Directs the day-to-day operations of the CES Interview Suite, including scheduling, communications, and in-person/virtual support for on-campus recruiting programs (e.g., Interviewing Program, Recruiter-in-Residence). Proactively collaborate with campus partners to expand the space's use beyond CES-sponsored recruiting programs when space is available.

  • Front Office Oversight at the Busch Student Center - Manages front desk operations and real-time student check-in for interviews, advising, and employer visits. Coordinates student staffing, space utilization, and real-time problem-solving to ensure smooth front office operations and a positive experience for students and employers. This position will have a dotted-line reporting relationship to the Associate Director of Operations to ensure service consistency across CES locations.

  • Campus-wide Recruiting Engagement - Coordinates employer networking & information sessions, tabling requests, and other visibility touchpoints across campus. Oversees scheduling, branding, and logistics through Handshake and other systems to ensure seamless execution and alignment with CES engagement strategy.

  • Student Supervision & Budget Management - Supervises undergraduate student colleagues supporting recruiting operations. Manages onboarding, training, and development. Administers a dedicated recruiting programs budget, ensuring fiscal responsibility and resource alignment with program priorities.

  • Strategic Leadership & Policy Development - Leads efforts to reestablish and expand in-person recruiting pipelines post-pandemic. Resolves real-time scheduling conflicts and enforce service standards and policies aligned with FERPA, ADA, and Rutgers brand guidelines. Provides input on long-term improvements and strategies.

  • Miscellaneous - Participates in CES department, unit, and team meetings, and university working groups as assigned. Contributes to special projects, peak recruiting event support, and internal initiatives. Engages in professional development opportunities to stay current with best practices in employer engagement, event management, and recruiting technology. Additional responsibilities may be assigned to support CES's mission and evolving priorities.

Mid Range Salary 93917.00
Maximum Salary 112452.00

Qualifications


Minimum Education and Experience
  • A bachelor's degree and at least five years of relevant experience, a master's degree and three years of relevant experience, or an equivalent combination of education and related experience. Candidates should demonstrate a strong track record of supporting employer engagement, recruiting operations, or career services initiatives that connect students with industry opportunities.
Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Strong student-focused orientation with experience supporting recruiting or employer-facing programs.
  • Ability to manage complex scheduling, real-time troubleshooting, and service logistics across virtual and in-person platforms.
  • Confident decision-maker who can operate autonomously and lead recruiting initiatives with professionalism.
  • Demonstrated ability to communicate clearly, manage external partnerships, and deliver service with consistency.
  • Strong organizational skills and adaptability to thrive in a fast-paced, dynamic environment.

Preferred Qualifications

  • Experience within a career services, employer relations, or higher education setting, particularly in a role that supported recruiting logistics or student-facing services.
  • Experience with college recruiting or university relations, either from an employer or institutional perspective.

Equipment Utilized

  • Career management platforms such as Handshake or similar systems.
  • Standard office software including Microsoft Office and Google Suite.
  • Online scheduling tools, communication systems, and recruiting technology platforms.

Physical Demands and Work Environment

  • Must be willing and available to work some nights and weekends when needed.
  • Must be comfortable with complex situations and environments.
  • At minimum, all staff are required to have business casual attire unless otherwise specified.
