Overview
LMI is seeking a Scholar Coordinator Team Lead for the SMART Scholarship Program. The role of the Scholar Coordinator Team Lead is to guide, facilitate, and assist the Scholar Coordinator team with scholar support, communication, and coordination. The Scholar Coordinator Team Lead supplies the team with timelines and tasks to ensure award cycle-specific deadlines are adequately met. In addition, the SC lead elevates scholar issues to the operations lead and/or government PM.
Responsibilities
RESPONSIBILITIES Awards:
Awardee Onboarding
- Assist in preparing onboarding scheduling
- Revise onboarding script
- Oversee Scholar Coordinator completion of onboarding call and documents
- Complete Onboarding calls and documents with Scholars as needed
Degree Pursuit
- Daily Scholar Support
- Oversee Scholar Coordinator communication with Phase 1 Scholars
- Review Service Agreement Amendment Requests (SAARs) prepared by Scholar Coordinators for completion and accuracy
- Oversee Scholar Coordinator processing of finalized SAARs
- Oversee scheduling and completion of the SMART Guidance Sessions
- Compliance Monitoring
- Oversee Scholar Coordinator sending reminders for transcript submission
- Oversee Scholar Coordinator receipt and review of transcripts (all policies)
- Prepare and send non-compliance notices to SMART Program Office (SPO) for signature
- Monitor non-compliance resolution
- Proofread and finalize issue summaries for SPO review
- Phase 1 Annual Reports
- Review and update SOP prior to Annual Report submission request
- Refresh team on SOP prior to Annual Report due date
- Monitor Annual Report submission and non-compliance notice generation
- Oversee Scholar Coordinator sending reminders for Annual Report submission
- Oversee Scholar Coordinator receipt and review of Phase 1 Annual Reports
- Issue Resolution
- Oversee communication between Scholar Coordinator and Component Liaison on scholar issues
- Assist with finding resolutions to scholar issues as needed
- Brief SPO on scholar issues and discuss action items
- Internships/Summer Activities
- Review and update SOP prior to Internship Request submission
- Refresh team on SOP prior to Internship Request submission
- Oversee Scholar Coordinator sending reminders for Internship/RT summer activity submission
- Oversee Scholar Coordinator receipt and processing of Internship Requests
- Oversee Scholar Coordinator receipt and processing of Internship Reports and RT travel vouchers
- Monitor Internship Request submission and generation of non-compliance notices
- Report and resolve scholar issues with Scholar Coordinator and Component Liaison as needed
- Collaborate with the SMART Program Office to coordinate International Internships
Graduation
- Review and update SOP as needed
- Refresh team on SOP as needed
- Oversee Scholar Coordinator sending scholar check-in notice for degree completion/conferral dates at beginning of each term
- Oversee Scholar Coordinator receipt and review of degree completion documents
- Monitor non-compliance notice generation and resolution
Hiring
- Review and update SOP as needed
- Refresh team on SOP as needed
- Oversee Scholar Coordinator preparation of Hiring Memos
- Oversee Scholar Coordinator receipt and review of Phase 1 Transition documents
- Review Phase 2 Letters for accuracy before sent to scholar and Component Liaison
- Oversee Scholar Coordinator completion of employment tracking
Data Maintenance
- Oversee Scholar Coordinator use of file maintenance SOP for consistency
Program Support and Special Projects
- Attend meetings and draft materials such as graphs, charts, tables, and written material related to meeting topics
- Provide updates and possible revisions to Scholar Handbook, SF Toolkit, and other policy documents annually
Program Procedures
- Update Standard Operating Procedures
- Update Trackers
- Update email templates and canned responses
- Provide structure and procedure for each program activity
- Meet with SCs regularly to ensure consistency across team
- Meet with PO regularly to discuss improvements and development tickets
SMART Inbox
- Oversee the SMART inbox and SMART General Phone Line
- Organize staffing
- Provide guidance
- Develop FAQs
Qualifications
Required:
- Minimum 3 years of experience in administrative, academic, customer service, or related field
- Must possess excellent written and verbal communication skills
- Must possess excellent customer service skills
- Proficiency in Microsoft 365 applications including Word, Excel, PowerPoint and Outlook
- Ability to work well in a team environment
- Ability to analyze complex problems, identify root causes, and drive effective solutions
- Ability to work well in a dynamic and fast-paced environment while continually meeting deadlines
- Must be a citizen of the United States of America
- Must be at least 18 years of age
- Ability to speak, read and write fluent English
Preferred:
- Bachelor's degree
- Experience managing a team
- Federal and/or Department of Defense experience
- Experience working in an academic environment
- Proficient in Adobe Acrobat Professional
Target salary range: $90,000 - $120,000. Final compensation will be determined by a variety of factors including but not limited to your skills, experience, education, and/or certifications. The salary range displayed represents the typical salary range for this position and is not a guarantee of compensation.
