The Office of Admissions is charged with assisting the campus in reaching its undergraduate admission and enrollment objectives in accordance with the University mission and campus enrollment goals. Department efforts are focused upon increasing the academic quality and diversity of the entering class while maintaining the required enrollment level. Admissions seeks to implement the campus admission goals by providing a number of services and events. Admissions promotes postsecondary education; encourages applications from historically underserved populations and schools; provides admission information to high school and community college counselors, teachers and administrators; provides admission advice to prospective freshman and transfer students; reviews and evaluates applications; develops recruitment strategies and events for admitted students; reviews coursework for transfer credit; and creates a presence on campus that is consistent with UCSB's mission and high academic standards. These services are provided by three units within the department: Visitor Center, Outreach Services, and Application Services. Learn more about the benefits of working at UC Brief Summary of Job Duties: The Assistant Director, High School Services (ADHSS) has functional and budgetary responsibility for the High School Outreach component of Admissions at the University of California, Santa Barbara which serves over 40,000 students annually. The ADHSS is responsible for the management and oversight of high school outreach programs, efforts that will help the campus mission to enroll a diverse and academically strong study body. The AD acts with a high degree of autonomy in program areas with major impact on the campus and is liaison to statewide constituencies including the UC Office of the President, Statewide outreach programs (Cal SOAP, AB540 Committees), and to the UCSB campus community including administrators, faculty, staff, and students. The Assistant Director has direct lead and evaluation responsibility for the following major campus programs: California and western-states high school services Campus-based high school outreach Electronic Outreach Campaigns and Virtual Advising (video chat) Program The Assistant Director oversees a comprehensive outreach plan to serve students attending California high schools and integrates these programs into UCSB efforts designed to improve the quality and efficiency of student services. As a member of the School Services Management Team, the ADHSS, assists in the development of marketing goals and set priorities for high school recruitment activities. This requires regular review of assigned program areas and adjustments in personnel and job responsibilities to meet these goals. The position requires experience and ability in developing new, innovative, and effective outreach services for prospective students. The ADHSS works closely with faculty and academic programs across the university and must incorporate work and management styles that are highly collaborative and supportive. The job requires initiative, problem solving, independence, and judgment, as well as effective verbal and written communication skills, and the capacity to organize and handle a wide range of responsibilities accurately and consistently. The Assistant Director must have detailed knowledge of University policy and procedures, UC and UCSB admissions issues, and UCSB programs and services. The ADHSS identifies priorities, monitors progress, and designates procedures for carrying out the University's high school student outreach plan. The job requires demonstrated analytic skills in short and long range planning, analysis, and evaluation of programs. The ADHSS must possess the ability to communicate complex admissions policies and procedures in a clear and concise manner. As the primary contact for issues related to high school outreach, the Assistant Director position requires extensive knowledge of university and campus policies and a high degree of initiative and professionalism. In addition to assuming responsibility for direction of high school Outreach Programs, the Assistant Director serves on the management team of the Office of Admissions, contributing to policy making decisions and incorporating statewide and campus goals into all programs.. Misconduct Disclosure Requirement: 30% Human Resources/ Personnel Functions Assumes supervisory responsibility in the hiring, training, evaluation, and assigning of duties for High School Admission Counselors (Student Affairs Officers II). Regularly reviews staff assignments and performs adjustments to program, personnel, and related job responsibilities as necessary. Develops and implements ongoing training programs for all Admission Counselors. Acts upon written and verbal feedback received from the activities of Admissions Counselors from school site personnel. Ensures staff adherence to established university and departmental travel policies and guidelines. 30% Management of High School Outreach Program Manages and coordinates the High School Services Program. Designs and manages an annual plan for the delivery of high school recruitment activities that supports the overall outreach, marketing, and enrollment objectives set forth by the School Services management team. Evaluation program annually. Oversee the implementation of a comprehensive school visit program to California and western U.S states (Oregon, Washington, Arizona, Colorado, and Texas). Identify college fairs and other high school outreach events hosted by community organizations and community colleges that warrant UCSB representation. Provide comprehensive counselor in-service programs and regular informational updates to high school counseling staff and administrators. With the Associate Director, establish budget priorities. Develop an annual budget request reflecting program goals and objectives of high school outreach programs. Ensures that high school programs are effectively implemented within existing budgetary constraints; reviews proposed and final expenditures associated with all staff travel, per diem payments and expenses associated with high school outreach activities. Collaborates with the Associate Director to set criteria for selecting, prioritization and assigning of high school visits and services throughout California and the western states. Maintains a yearly schedule of outreach activities and provides recommendations and solutions for staffing issues during peak periods. Identifies needs and designs programs to meet changing enrollment priorities and informational needs of high school counselors and administrators. Review and adjust staffing assignments as needed to meet program needs. Organizes and monitors the dissemination of information pertaining to UC admissions policies and UCSB academic and student life programs to school personnel. Designs strategies to enhance relationships between UCSB Admissions and high school counselors. Interpret Academic Senate, BOARS and Admissions policies and procedures to school and college administrators and faculties. Represents UCSB and/or the University of California at systemwide events, meetings, advisement programs and conferences. 20% Electronic Communication Management Researches and makes recommendations regarding expanded use of Web technology, software, and other advanced technologies to enhance recruitment activities. Manage the design, content and dissemination of electronic communication campaigns delivered to prospective students via Admissions Lab CRM. Manage the Adobe Connect virtual advising (web video chats) to campaign to high school students. Train personnel both in the department and across campus who are interested in using this platform to assist with student recruitment and retention. Supervise the development and dissemination of webinars targeting high school students. Ensure quality control of the content and delivery of all electronic communications (email, video chat, webinars) delivered by Admissions staff. 10% Program Evaluation Ensure that, upon the completion of each school visit, outreach staff submit appropriate college visit reports. Secure, on an ongoing basis, written and verbal feedback on the activities of the High School Outreach staff from school site personnel and campus administrative and academic units. Prepare reports for the Director and Associate Director, Chancellor's Outreach Advisory Board (COAB), UC Office of the President, and others providing detailed and specific results of high school outreach efforts. Develop and oversee an evaluation study to demonstrate long-term results of high school outreach initiatives. 10% Liaison Responsibilities The Assistant Director serves as liaison to various regional, statewide, and campus wide committees, organizations, and cross functional teams, serving as both a resource and active participant in efforts to improve high school student recruitment and student transition to the university after admission. Represent UCSB and/or the University of California at systemwide events, meetings, advisement programs and conferences. Be the conduit for feedback related to emerging high school issues and concerns, from school counselors and administrators. Interface with the Registrar's Office, Educational Opportunity Program, Orientation, Housing, Financial Aid, college advising offices and academic departments to ensure a smooth transition for first generation students.
