The impact you'll make:

The RubyCar Document Clerk position involves performing various administrative tasks, including pulling the required documents for the signing session, filing and mailing documents and assisting the title clerks. The role is essential for maintaining the smooth operation of the signing sessions and requires a candidate who is organized, punctual, and possesses strong communication skills. The essential duties and responsibilities shown below will vary according to assignment.

What you'll do:

Essential Duties and Responsibilities

  • Organize and manage incoming and outgoing documents
  • Attention to detail for accuracy when reviewing title documents for signing sessions. In the event a correction is needed you will be working closely with the Financial Advisors to ensure the documents are corrected before the signing session.
  • Submit accurate documents to pre-audit, ensuring corrections are made and resubmitted before final approval through our virtual title company.
  • Responsible for mailing documents that have passed pre-audit to our virtual title company.
  • Ensuring temporary tags are issued in a timely manner.
  • Accurately enter required data into various company systems for tracking, reporting and retention of customer records
  • Successfully meet specific metrics/goals in a performance driven function, including high customer satisfaction scores, negotiating and overcoming objections
  • Participate in special projects and/or conduct various other duties as may be required or assigned.

What we're looking for:

Qualifications (may vary by level)

Required Experience

  • High School Diploma required. Associate's degree preferred.
  • Three years of related job experience in a fast-paced customer service position

Required Knowledge, Skills and Abilities

  • Strong leadership, decision making, and problem-solving skills.
  • Strong analytical and organizational skills.
  • Excellent verbal and written English communication skills and active listening
  • Active participation in virtual training sessions is required
  • Proficient PC skills using MS Outlook, MS Office and multiple internal systems
  • Ability to demonstrate strong initiative to exceed expectations.
  • Regular and punctual attendance

Travel Requirements

Minimal travel is required.

Supervisory Responsibilities

This position does not have formal supervision responsibilities.
