Job Summary

Reporting directly to the Chief Campus Compliance Officer, the OEC Administrative Officer works independently to perform a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts. Requires knowledge of the University and departmental policies and procedures. Includes responsibility for executive office support, executive scheduling, committee meeting management, notetaking, event planning, travel management, and coordination with human resources and finance professionals.

This position requires proven administrative skills; ability to manage multiple issues with a capacity to prioritize responsibilities and manage deadlines; ability to work with confidential information with discretion. Strong interpersonal, communication (including good writing and proofreading skills), diplomacy, professionalism and organizational skills required. Advanced skill in Microsoft Word, Excel. PowerPoint, SharePoint, Access, and Outlook necessary. Proactive and independent approach to work; team player with a strong sense of ownership needed. Demonstrated ability to focus on details with accuracy.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $86,500 - $129,700 (Annual Rate).

Department Description

The Office of Ethics and Compliance collaborates with the UCSF community and senior leadership to provide oversight and guidance to compliance functions across the enterprise. Our mission is to foster a culture of compliance, which leads to compliant and ethical behavior across all university functions and activities. The OEC organization includes the following units: Investigations Unit; Conflict of Interest Program; Export Control; Regulatory Support; Research Security and Research Integrity.

Required Qualifications


  • Bachelor's degree in related area and 3+ years of related work experience; and / or equivalent experience / training
  • Three plus years of related experience with proven executive support and office administration skills
  • Thorough knowledge of university rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management
  • Solid analytical / problem-solving skills
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Strong interpersonal skills with a service orientation.
  • Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbally and in writing.
  • Advising and counseling skills
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines
  • Solid knowledge of common University-specific computer application programs.
  • Thorough knowledge of common organization-specific another computer application programs and communications tools, including Microsoft Office and Office 365 (including, Excel, Word, Outlook, Teams, and PowerPoint), and Zoom
  • Ability to use discretion and maintain confidentiality.
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies
  • Ability to use high-level discretion and maintain a high level of confidentiality
  • Strong skills in short-term planning, analysis, problem-solving, and customer service
  • Solid skills in problem identification
  • Ability to multi-task with demanding timeframes
  • Thorough knowledge of financial analysis and reporting techniques for staff and academic employees
