Job: Facilities Maintenance Buyer & Planner

Job purpose

We are looking for a detail-oriented and proactive Facilities Maintenance Buyer & Shutdown/Project Planner to support our industrial manufacturing operations. This role involves sourcing, purchasing, and managing the inventory of maintenance, repair, and operations (MRO) supplies and equipment. The candidate will play a critical role in ensuring the continuous operation and infrastructure of our facility. The ideal individual will collaborate closely with the maintenance, engineering, and procurement teams to guarantee the timely availability of necessary parts and services while optimizing cost, quality, and supplier performance.

Nature of Duties



  • Purchase tools, parts, services, and equipment for the maintenance department, including mechanical, electrical, hydraulic, and pneumatic components.
  • Evaluate and maintain relationships with preferred vendors. Negotiate terms, pricing, and delivery schedules to ensure optimal costs and services.
  • Maintain minimum stock levels for critical spare parts. Collaborate with maintenance team members and storeroom personnel to optimize inventory turnover and reduce excess.
  • Create, manage, and track purchase orders. Follow up on order statuses and expedite as necessary to avoid downtime.
  • Work closely with the facilities manager and engineers to understand maintenance schedules and material requirements.
  • Ensure accurate data entry in the ERP/CMMS systems. Maintain records of purchases, pricing, lead times, and vendor performance metrics. Track monthly spending and identify trends.
  • Ensure all procurement activities adhere to company policies, safety standards, and environmental regulations.
  • A combination of office and shop floor environments.
  • Must be able to occasionally lift items up to 30 lbs.
  • May require occasional travel to vendor locations or other manufacturing sites.



Other Requirements



  • Certification such as Certified Maintenance & Reliability Technician (CMRT) or Certified Purchasing Professional (CPP).
  • Experience in industrial manufacturing (e.g., metal fabrication, food processing, automotive, chemicals).
  • Familiarity with preventive maintenance processes and CMMS systems.
  • Knowledge of Lean manufacturing principles or Total Productive Maintenance (TPM).
  • Familiarity with CAD and blueprint reading.
  • Understanding of electrical diagrams and wiring schematics.
  • Familiarity with RTUs, AHUs, and Chilled/Process Water Systems.
  • Knowledge of Compressed Air Systems.



Education/Experience



  • High school diploma or equivalent required; an associate's or bachelor's degree in supply chain, engineering, business, or a related field is preferred.
  • 3+ years of experience in purchasing or procurement, preferably in a manufacturing or industrial environment.
  • Knowledge of MRO inventory and maintenance materials.
  • Strong negotiation, communication, and organizational skills.
  • Strong understanding of mechanical and electrical maintenance materials and terminology.
  • Experience with ERP systems (e.g., SAP, Oracle, Microsoft Dynamics).
  • Proficient in the Microsoft Office Suite, especially Excel.
  • Ability to manage multiple priorities in a fast-paced, production-driven environment.
