Department Information

SimTigrate Design Lab: Where Healthcare and Design Meet

The SimTigrate Design Lab is an interdisciplinary research lab using evidence-based design (EBD) to shape the future of healthcare. We improve healthcare outcomes by measuring, quantifying, and documenting the impacts of the built environment in the healthcare process. From lighting and sleep to infection prevention, we study healthcare spaces and provide evidence-based guidelines that will impact the entire field of healthcare design.

We use EBD as a future-focused conceptual model. Moving beyond literature review, we identify points of leverage and emerging strategies in healthcare spaces that could provide designers innovative ways to improve healthcare outcomes.

We bring together individuals in diverse fields, including architecture, industrial design, systems engineering, mechanical engineering, computer science, nursing, medicine, and psychology. Our lab is dynamic and innovative. We do and communicate research and are focused on teaching students and researchers how to do the work and think critically about the design process.

Job Summary

Provide high level, specialized administrative services within a campus unit, usually in direct support of unit management. Position usually encompasses organization of office services within area including coordinating calendars, meetings and events, budget administration, procurement and report preparation. May provide work coordination and supervision to lower level administrative personnel within the unit. This position will interact on a consistent basis with: unit management and staff, vendors and office visitors. This position typically will advise and counsel: administrative staff . This position may supervise lower level administrative staff.

Responsibilities

Job Duty 1 - Prepare and manage department budget; generate associated reports
Job Duty 2 - Coordinate Payroll and HR related functions (time-keeping, PSFs, paperwork processing, etc.)
Job Duty 3 - Coordinate unit purchasing process; track and manage purchasing activities
Job Duty 4 - Originate and process correspondence, reports and other documentation
Job Duty 5 - Compile, organize and analyze data for use in reports; develop and maintain databases and records management systems
Job Duty 6 - Plan meetings and other events to include scheduling, reservations, arrangements, etc.
Job Duty 7 - Make travel arrangements for unit staff management and staff as directed
Job Duty 8 - Review and resolve complex administrative related questions and issues; recommend new or revised unit administrative procedures

Job Duty 9 - Provide training and ongoing work guidance (may include supervision) to administrative staff members as required
Job Duty 10 - Perform other duties as assigned

Responsibilities

Job Specific Responsibilities:

Job Duty 1: Prepare and manage the Center budget; generate associated reports

  • Develop, analyze, reconcile and report financial data for a variety of types of accounts in the Center on a monthly basis.
  • Interact with the College of Design business office to coordinate oversight of sponsored project activity and correct any issues.

Job Duty 2: Coordinate payroll and HR related functions

  • Coordinate with the College of Design HR office to support the hiring process for center student assistants
  • Manager time approvals in the OneUSG Connect system.

Job Duty 3: Coordinate the SDC purchasing process, tracking and managing purchasing activities

  • Hold departmental purchasing card. Manage and reconcile purchases made via dept purchasing card. Responsible for all SDC purchases for office supplies, rental equipment, lab materials and class materials in the requisition system (Workday).
  • Responsible for reimbursements for SDC-related purchases.

Job Duty 4: Office Management

  • Coordinate all internal facility requests with institute facilities dept.
  • Coordinate with IT to maintain lab computers and printers in working order and secures new equipment as needed.
  • Create standard processes and procedures for the labs.
  • Coordinate all deposits of old equipment to the surplus dept.
  • Maintain the organization of both labs office spaces, lab and conference room.
  • Manage and update all SDL software and organization subscriptions.
  • Coordinate building access to the lab

Job Duty 5: File management

  • Compile, organize and analyze data for use in reports.
  • Supervise processing mail of and miscellaneous correspondence; maintain filing system.
  • Develop and maintain databases. Organize, maintain, and archive peer reviewed journal articles, project reports and presentations.

Job Duty 6: Meetings, Marketing and Communications Coordination

  • Make arrangements for conferences and seminars.
  • Plan, schedule, coordinate, and facilitate bi-weekly SDL team meetings. Guide students to organize regular team building events.
  • Manage the SDL relationships with college marketing personnel for events and updating the websites. Works with the College marketing coordinator to create, plan, and maintain communication and marketing plans.
  • Coordinate and participate in tours of the SimTigate Design Center. Interface with internal and external partners as needed.
  • Oversee student assistant to create and maintain a newsletter that goes to all SDL stakeholders.

Job Duty 7: Make travel arrangements for SDC staff as directed.

  • Coordinate with College of Design Business office staff to support financial operational duties related to accounts payable, accounts receivable, procurement, payroll and inventory.
  • Manage all travel authorizations and expense reports for faculty and students of the SDC for conferences and field work.

Job Duty 8: Review and resolve complex administrative related questions and issues: recommend new revised unit administrative procedure

Job Duty 9: Provide training and ongoing work guidance to administrative staff members as required

  • Coordinate with the College of Design HR office to support on/off boarding of all levels of employees (faculty, students, visiting scholars/fellows, visiting professors).
  • Track annual performance review activities, perform reviews of student assistants
Required Qualifications

Educational Requirements
High school diploma, GED Certificate or Vocational School Diploma

Required Experience
Six to eight years of job related experience

Preferred Qualifications

Preferred Qualifications: Bachelor's degree in Business Administration or related field or equivalent combination of education and experience.

Proposed Salary

Grade A6

Salary Range: $19.28 - $27.17

SKILLS
This job requires advanced skills in general office administration to include budget administration, unit level procurement processing, document production and management, records management, event management, problem solving and office organization. Skill in use of advanced office and financial related computer applications is required.

  • This job requires working knowledge of office management processes and procedures including those related to accounting/finance, grant and proposal processing and general administration.
  • Skills in supervision, organization and communications, financial record keeping, report writing, knowledge of general office administrative processes and practices, and event planning are required.
  • Use of Microsoft Office related computer applications and other specialized computer applications and systems are required
