Position Summary |
The Supplies and Mail/Delivery Services Associate plays a key operational role in the day-to-day logistics of the
UGA Libraries' mailroom and supply operations. Reporting directly to the Supplies and Mail Operations Manager, the associate is responsible for mail and package handling, supply ordering, inventory support, and delivery coordination. This position alternates delivery routes with the Manager and assumes oversight and operational duties, including international mail processing, student worker oversight, and inventory coordination-in the Manager's absence. This position helps maintain consistency in all aspects of mail/delivery and supplies services and associated record keeping. |

- Ensures incoming Libraries mail and parcels are distributed to the addressees by sorting and delivering.
- Receives and distribute shipments of library material, supplies, and equipment .
- Transports Libraries' mail and equipment to and from the U.S. Postal and campus mail facilities, and satellite campus locations.
- Alternates weekly mail and delivery routes with the Supplies and Mail Operations Manager to ensure a continuous and consistent flow of time-sensitive and special deliveries.
- Processing requests, monitoring, purchasing and restocking supplies across library locations; ensure supply closets are organized and inventoried.
- Records the receipt for purchase order deliveries, assist in unloading, and communicate with the Libraries Business Office to ensure timely payment.
- Maintains the Libraries' fleet of vehicles by monitoring fluids, scheduling service, and recording maintenance activities.
- Ensures the security of the loading dock and mailroom areas by adhering to Libraries' restricted access policies.

- Prepares out-going U.S. mail and on-campus mail (including faculty books) by following departmental processing procedures, as well as specialized mail including Federal Express, UPS, and bulk mailings.
- Enters mail room data both manually and by computer for record keeping purposes.
- Interprets various mail policies and procedures for the Libraries by maintaining awareness of changes in the U.S. and International Postal Service, Campus Mail , and various commercial shipping companies' policies to ensure the most efficient and cost-effective methods for mailing materials.

- Assists in the supervision and evaluation of student workers by participating in interviewing, hiring, training, scheduling, and monitoring their daily activities.
- In the absence of the Supplies and Mail Operations Manager, serves as acting lead for the department-overseeing mail, supplies and delivery operations, managing student worker responsibilities, coordinating deliveries and inventory tasks, and processing international shipments.
- Ensures continuity of departmental services during Manager absences or special projects.
