Manages and coordinates meetings with management for project meetings, budget items, and stakeholder issues. This position also maintains liaison with other administrators, employees, groups, and organizations. Essential Functions 35% - Main administrator of the CMMS work order system. This position will be responsible for reviewing all work requests, ensuring the information is complete and correct. This position will assign all work requests within the facilities department as well as reassign intra-departmental work orders. Running reports and developing presentations to communicate the trends and workload demand for the facilities department. 25% - Manages and oversees the process from beginning to end: from a quote at the initial stage, creates requisitions, disbursement of the Purchase Order, monitors review for approval process and notifies reviewers to avoid delays in review/approval process; tracks delivery and/or project completion; participates in the inventory receiving/tagging process, reviews for accuracy and then approves vouchers/invoicing in FMS; monitors Purchase Orders for sufficient funding; creates increases to Purchase Orders when necessary and requests Purchase order closures. 15% - Provides administrative support including managing schedules, data entry, answering phones and delivering messages. Act as the first point of contact for the facilities department. Assist staff and faculty with facilitating facilities related requests such as projects and equipment requests. Coordinates and distributes meeting minutes 10% - Manages ProCard procurement process. Compares prices and quality, strictly following fiduciary practices, places orders, uploads and stores receipts, monitors/tracks delivery from receiving; distributes to appropriate staff, verifies data in FMS purchasing for ProCard's, reconciles in FMS, returns product when required, monitors the process and updated reconciliations in FMS, reminds leaders to review for approval if process is delayed. 10% - Performs non-technical quality control measures to ensure work orders are being closed in a timely manner and verify the resolution is true and correct 5% - Other duties as assigned Minimum Qualifications Bachelor's degree from a regionally accredited institution in any discipline and one (1) year of experience related to administrative coordination, facilities coordinator and/or office support programs and projects OR An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job, such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation Desired Qualifications A. Experience in facilities management, office coordination, or a related administrative/support/ scheduling /calendar management B. Experience in managing vendors, contracts, and facility service providers C. Experience in budgets, purchase orders, quotes, requisitions, D. Experience with (online systems, i.e. Google Suite, CRM, SIS, Canvas, etc.) E.
