Departmental Overview

Arts and Lectures (A&L) is a large, robust, complex, primarily self-supporting, non-academic unit that supports the academic mission of the university. A&L is the largest presenting organization between Los Angeles and San Francisco, and is one of the most visible, public-facing departments at UCSB. Through more than 150 events annually, A&L partners with faculty and academic departments, community organizations and leaders, university administrators, philanthropists and funders to create opportunities that integrate with and complement university curricula and create community connections.

Brief Summary of Duties

Under supervision of the Director of Education, the temporary Education Programs Assistant (Ltd. Appt) works independently to provide administrative support to the Arts & Lectures Education and Outreach programs, whose mission is to 'Educate, Entertain, Inspire'. As the primary administrative and activities assistant is responsible for assisting with planning activities on campus, in schools and in the community. Collaborates with the Director of Education and the Arnhold Education Associate to create and develop relationships with educators and community leaders to keep Education Outreach programs current and operating at peak efficiency and effectiveness. Works closely with the Director of Education and in tandem with Arts & Lectures staff in Programming, Production, Marketing, Development, and Finance to achieve a high-quality program and thorough accountability. Staffs all Education events, assists with tracking expenditures and providing basic financial reports. Assists with tracking data pertaining to events attendance and other statistics.

Required Qualifications

  • Bachelor's Degree or equivalent experience and/or training.
  • Ability to work variable hours, including many nights and weekends, subject to Overtime pay in accordance with UC policies.
  • Thorough written, verbal and interpersonal communication skills, including tact and political acumen to effectively represent the institution.
  • Skill to meet prescribed deadlines, manage projects, and plan events.
  • Experience with or willingness and aptitude to learn basic graphic design skills in InDesign.

Preferred Qualifications

  • Spanish language abilities.
  • 1-2 years of experience with building and maintaining effective relationships with diverse constituencies across a community.
  • 1-3 years of experience working with K-12 and/or university-level student populations.

Special Conditions of Employment

  • Driver's License (U08): Required to hold a valid driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program.
  • CANRA (U13): Mandated Child Abuse Reporter.
  • This is a 100% time limited appointment working less than 1,000 hours, for up to 6 months.
  • Hours are variable and include nights and weekends (eligible for overtime pay).
  • Satisfactory conviction history background check.

Responsibilities

Support for Education Production & Management- 50%

Provides administrative support for a robust arts education outreach program that serves over 30,000 students and families each year as part of the Arts & Lectures program. Duties include interacting with artists and artist management to support the coordination of all education and outreach-related activities, including assisting with developing artist residency schedules and technical needs; interfacing with faculty and community hosts to confirm details of residency activities; assisting with planning with local vendors or venue staff to ensure that technical needs are met; researching and providing context materials as required; assisting with escorting and hosting artists on the day of the event; assisting with leading the event as one of the representatives of the organization and the University; and completing follow up communication with outreach partners and constituents. These sessions range from in-school assemblies with K-12 students, workshops with community members and students, free public performances, and artists visits to campus to instruct in UCSB courses. Provides administrative support for the Arts Adventure program, which buses 1500 K-12 students into the Granada Theater multiple times a year for large-scale arts education opportunities. Duties related to this program include interfacing with busing companies and school administrators to ensure the coordination of transportation; working with Granada Theater front of house staffing to help manage the flow of students; and assisting with directing other A&L support staff in their event duties. This position also supports the creation of educational materials to be distributed to program teachers and participants. Plays a key role in supporting the Viva el Arte de Santa Barbara! program, a multi-day residency program that provides free performances, workshops and other educational activities to various students and families across Santa Barbara County. Assists with communication between the artists and community partners to support the coordination of a complex residency schedule.

Support for Program Planning & Promotion- 25%

Support the Director of Education and the Education Associate to envision and plan annual programs according to the unique artists&; abilities and availability, University and local interests, foundation and donor agendas, financial requirements, and program priorities. May provides insight into selecting appropriate partners for educational outreach activities and creating opportunities that match A&L and our partner's mission. Assists Director and Associate Director in envisioning and creating opportunities to develop awareness of Arts & Lectures programs on campus and in the community, ranging from attending school faculty meetings, inviting guests to events and receptions, and extensive digital promotion. Represents the program and the University at educational outreach activities and acts as the emcee and host. Creates bi-lingual (English /Spanish) promotional materials using basic graphic design skills. Coordinates TV and print ad placements and negotiates media sponsorship for the Viva el Arte Program. Assists with the Oversees marketing and promotions for the Viva el Arte program and supports community coordinators in their promotional roles.

Data Management & Reporting - 25%

Assists with maintaining the arts education databases related to record programming and attendance, financial reports for income and expense tracking, digitizing records and archiving photographs and outreach participants feedback. Provides basic financial reports to Finance and reconciles monthly records for all expenses related to education outreach.
