What You'll Do: Preparing Correspondence. Responsible for preparing correspondence and reports to fulfill the department's needs. Ensures accuracy of all typing assignments including proofreading documents for errors, proper punctuation, clarity and correctness. Also ensures that figures are recorded carefully and checked for accuracy on all tasks, including monthly billing charges for the Print Shop and compiling the Facilities Services budgets and the quarterly and year-end department reports. Maintains Mail Director, year-end reports, quarter accomplishments and staff meeting notes. Organizing. Responsible for organizing and maintaining the files for each member of the department in a concise manner, ensuring that all filing is up-to-date so that quick and easy retrieval of material will be facilitated. This includes filing for design library, building services and printing services as well as Facilities Planning and Building Services work order count and filing. Responsible for maintaining sufficient level of office supplies; screening and directing phone calls; keeping abreast of due dates for reports, projects and correspondence and planning time accordingly; and keeping track of department members' schedules, reminding them of important deadlines. Teamwork. Responsible for relieving the Receptionist/Switchboard operator for breaks, lunch and other absences. Must perform all duties related to switchboard including monitoring security card access system and monitoring closed circuit TV and adding/deleting/changing employee ID cards when needed. Additional duties also include scheduling conference rooms via VNET, receipt and delivery of letters and packages to employees, and coordinating taxi service for visitors. Responsible for providing back-up and relief to Corporate HR Assistant with duties, including processing of resumes and preparation of organizational charts and other activities for the Corporate HR Department when needed. Training. Responsible for cross training with Records Administrator to learn software databases and records information within the company. Responsible for retrieving files/boxes for records administrators when needed. Monitoring Facilities. Responsible for monitoring conference rooms for supplies and general cleaning, including checking for carpet stains, chair stains/repairs and table stains/repairs. Must also straighten chairs and buffet units in each conference room on a weekly basis. Copying. Responsible for ensuring that all copying is done in a timely and accurate manner. This includes checking the copies to make sure that they are correct before returning to the department member. Attention to detail is a must in this area. Also responsible for monitoring service calls and repairs for copier/fax machines in Building 1200. Additional Responsibilities. Other duties as assigned. Qualifications
Skills You'll Need: Education. High School diploma or equivalent is required. Experience. At least 2 years of administrative / secretarial experience required. Organizational Skills. Must have a keen attention to detail. Time Management Skills. Must have the ability to establish a course of action for yourself and others to accomplish specific goals. Must have the ability to budget time, set priorities, and maintain an awareness of the relationship between activities. Interpersonal Skills. Knowledge of letter writing, grammar, spelling, punctuation and basic accounting functions. Interpersonal relations and the ability to organize work and communicate effectively. Requires knowledge of the department routine and an understanding of the procedures related to the department's activities. Technology Skills.
