Position Overview

A confidential, inventory-focused business is seeking a skilled Bookkeeper to manage daily financial operations, support accurate reporting, and maintain inventory accounting processes. This is a hands-on role requiring attention to detail, a strong grasp of GAAP principles, and the ability to collaborate cross-functionally with operations and leadership.

Key Responsibilities

Accounting & Bookkeeping

  • Maintain the general ledger and ensure accuracy of daily financial records.
  • Own all bank account reconciliations and resolve outstanding historical items.
  • Reconcile Balance Sheet accounts, with emphasis on:
    • Inventory: Maintain accurate tracking, valuation, and reconciliation. REQUIRED EXPERIENCE.
    • Deferred Revenue: Properly record and track customer prepayments.
  • Assist leadership and an outsourced CFO with 4-5 month rolling cash flow forecasts.
  • Support monthly close by identifying and correcting discrepancies.
  • Apply year-end adjusting journal entries with full documentation and clarity.
  • Manage accounts payable, vendor payments, and ensure adherence to approval protocols.
  • Oversee staff expense reimbursements and help implement clear reporting policies.

    Inventory Oversight

    • Understand accounting implications of inventory movements, kitting, and staging.
    • Partner with warehouse/operations teams to ensure inventory accuracy.
    • Assist in implementing standard costing methods, including purchase price, freight, labor, and repair inputs.

    Process Development & Systems

    • Actively use and contribute to the company's accounting procedural manual.
    • Help develop and refine financial and operational Standard Operating Procedures (SOPs).
    • Recommend and implement process improvements for efficiency and accuracy.

    Office & Vendor Management

    • Maintain relationships with key vendors (e.g., office equipment, cleaning, utilities).
    • Track and order office supplies within budget.
    Success in the First 90 Days
    • All bank accounts are fully reconciled through the latest month.
    • Balance Sheet is clean, accurate, and clearly documented.
    • Active cash flow forecasting is in place and reviewed monthly.
    • Accounting files are organized and ready for controller review or audit.
    • Inventory reconciliation is completed using a standard cost approach.
    • Office systems and vendor processes are streamlined and documented.
    Qualifications
    • Demonstrated experience preparing GAAP-compliant financials.
    • Strong bookkeeping and reconciliation skills, especially for inventory-heavy businesses.
    • Proficiency with QuickBooks Online and Excel/Google Sheets.
    • Solid understanding of inventory accounting, standard costing, and deferred revenue principles.
    • Strong organizational skills and the ability to work independently with minimal supervision.

    Preferred Experience

    • Familiarity with systems such as Shopify, Rippling, or Cin7 Core.
    • History of building or improving accounting systems and reporting workflows.
    • Comfortable using AI tools to enhance productivity and accuracy.
    Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
