Job Summary

The Administrative Assistant is responsible for running and coordinating day-to-day administrative duties at The Vomela Companies.

What You'll Do...

  • Operate as first point of contact for visitors and employees, inbound phone call and faxes
  • Operate telephone console to field and receive incoming calls, forward calls correctly, take messages, announce arrivals for appointments to the appropriate manager or employee
  • Provide general office support, organize and schedule appointments, manage all calendars for the conference rooms
  • Distribute mail, correspondence memos, letters, faxes and forms
  • Assist the executive, administrative, operations, marketing, sales and HR teams
  • Perform project work/administrative tasks that are project related for other corporate functions
  • Be a welcoming host/hostess, greet everyone who approaches you, when appropriate offer a beverage and a place to sit while the visitor waits for their party or escort/direct the visitor to their destination
  • Continuously identify and suggest ways to improve the administrative process within the company
  • Manage workflow by ensuring deadlines are met and work is completed correctly
  • Enter Daily Timecards for all Temporary employees and submit hours to the vendors every Monday
  • Generate memos, emails, analytics (Using MS Excel) and reports as needed
  • Ordering of office supplies and assume responsibility of office equipment, by notifying proper channels
  • Assist in training new hires regarding office norms and resources
  • Assist with Recruiting for production staff
  • Complete all other duties as assigned

What You'll Bring...

  • High School Diploma, College degree in HR preferred, or equivalent experience
  • At least 2 years of experience performing day-to-day HR administrative duties
  • Must possess solid organizational skills and demonstrate initiative
  • Maintain confidentiality and ability to manage workload and prioritize work
  • Must be reliable, composed, accountable and maintain trust. Must present professional well-groomed and courteous image
  • Proficiency in MS Office, with exceptional knowledge of Excel and PowerPoint
