Job Title: Program Assistant I

Job Summary:



The Program Assistant I is an independent and multifaceted position reporting to the Associate Director of Finance and Administration within the Department of Psychiatry. This position will provide comprehensive office administration and support, which encompasses the execution of office management processes and facilities management. This position will perform a variety of activities such purchasing, assisting with onboarding, addressing facilities requests, contract negotiations, and participating in/maintaining emergency response protocols. The Program Assistant I will also be a main point of contact for the Department and as such, will need to know and understand all relevant processes, policies, and workflows top successfully respond to inquiries, address concerns, problem solve, and propose changes to processes when necessary.

Key Responsibilities:



  • Assist with completion of annual university-wide space and lab inventory and audit, review of contracts and MOUS.
  • Utilize request and tracking systems for space usage, requests for facilities issues.
  • Participate in management of space for the department at AHSB.
  • Trouble shooting technology issues in the conference and public spaces.
  • Monitoring and fulfilling requests for Office and Breakroom Supplies for AHSB.
  • Monthly processing of invoices for department services.
  • Process funding deposits as needed.
  • Maintain Emergency Response Documentation and Processes.
  • Participate in annual Training or Education with department on responding to Emergency Situations (Weather, Active Shooter, Power Outages, etc.).



Work Location:



Onsite - this role is expected to work onsite and is located at the University of Colorado Anschutz Medical Campus, in Aurora, Colorado.

Qualifications:



Minimum Qualifications:



  • Four (4) years of relevant program support or administration experience.

    • A combination of related education and/or relevant experience in an occupation related to the work assigned equal to four (4) years.




Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:



  • Experience with Microsoft SharePoint, Smartsheet, COR360, EMS, Marketplace or Concur.
  • Experience with contract negotiations.


Knowledge, Skills, and Abilities:



  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.
  • Ability to work with minimal supervision.
  • Ability to juggle and prioritize multiple requests.
  • Ability to exercise tact and diplomacy when dealing with stakeholders at all levels.
  • Attention to detail and the ability to organize and complete complex projects and to work under tight deadlines.
  • Experience with Microsoft Office Applications (Word, Excel, and PowerPoint).
  • Knowledge of general procurement, or accounting concepts.

Anticipated Pay Range:



The starting salary range (or hiring range) for this position has been established as $53,390 - $66,203.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
