The Practice Assistant will directly support the Financial Institutions practice with client billing and related administrative tasks. The ideal candidate is an organized and self-motivated individual with an interest in the legal profession. This position can be based in our Austin, Dallas, or Houston, Texas office and will work a hybrid schedule of three days in the office and two days remote. Overtime and flexibility in schedule may be required from time to time.

Responsibilities include, but are not limited to:

  • Work with lawyers to develop and manage budgets based on work in progress (WIP)
  • Respond to client billing inquiries and resolve billing inquires and issues
  • Become familiar with client legal services agreement (LSA) and review invoices to ensure compliance with LSA
  • Manage invoice appeals process including adjuster approvals and revisions to invoices as applicable
  • Maintain invoice schedule and prepare monthly payment status reports
  • Monitor and analyze budget vs. actual performance, identifying variances, trends, and opportunities for cost optimization; prepare and present regular financial reports to stakeholders with actionable insights.
  • Prepare ad hoc reports such as AR for specific matters or groups of matters and rate reporting
  • Train timekeepers on billing guidelines and best practices for client
  • Additional responsibilities or special projects, as requested

Qualifications:

  • Minimum one year experience in a law firm or professional service organization preferred
  • Associate or bachelor's degree preferred; high school diploma is required
  • Proficient in Microsoft Office Suite
  • Strong Excel, including vlookup and pivot tables
  • Tech savvy and willing to invest in becoming proficient in new software
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Strong work ethic and positive attitude, with flexibility to work overtime as needed
  • Exercises confidentiality and discretion
  • Self-starter who takes initiative and has willingness to learn
  • Demonstrates accountability; takes ownership and pride in work
  • Strong time management skills; able to prioritize actions from multiple sources
  • Ability to learn and understand basic firm principles
  • Minimum two-year commitment
