About this Role - Administrative Assistant

We are looking for a talented Administrative Assistant that has a passion for quality construction. This position is responsible for providing a wide variety of clerical and administrative support to operations.

What You'll Do

- Provide daily administrative support to office operations, including establishing work priorities and workflow processes.

- Prepare correspondence, proposals, presentations and reports for key internal and external customers

- Assist with the development and implementation of reporting procedures; oversees maintenance of office records and inventories of office supplies

- Track Projects; initial purchase orders, construction estimates, change orders, work with customer billings

- Support aspects of the customer's drug testing and security screening, access requests, annual training requirements, and log safety Good Catches and Near Misses

- Ensures the execution of company policies and procedures

- Assist with the coordination of field and operational activities in association with Project Managers

- Compile weekly-monthly reports, including manpower and MAR material report

- Responsible for the servicing of office equipment, orders office supplies, various work errands. Assists with coordination of building grounds and maintenance.

- Process and distribute internal and external mail and FedEx shipments

- Functions as the receptionist, and phone operator, to ensure that callers and visitors are given prompt and courteous service

- Document Management; upload and download files to/from customer's SharePoint site

- Responsible for producing and distributing construction prints, specification books, and BAM maps

What You'll Bring

- A basic understanding of generally accepted accounting practices

- Thorough knowledge of general office procedures and practices

- Demonstrated multi-tasking and data entry skills, and prioritizing

- Ability to anticipate and meet internal customer needs

- Ability to work independently and meet deadlines

- Proven communication, organizational, documentation and interpersonal skills

- Solid computer skills including familiarity with Microsoft Office

- Ability to learn computer programs, such as JD Edwards and SharePoint

- Ability to maintain confidentiality

- Candidate must complete customer required background check and drug testing

- High School Diploma or Equivalent (Education beyond High School preferred)

- 1-2 year of administrative and/or clerical support experience
