Astrion has an exciting opportunity for a Senior Executive Assistant / Office Manager to support the Command, Control, Communications, and Battle Management Division (C3BM).

Command, Control, Communications, and Battle Management (C3BM) has been tasked with delivering an integrated Department of the Air Force (DAF) Battle Network providing resilient decision advantage and enabling the USAF, USSF, Joint, and Coalition Force to win against the pacing challenge.

This is a unique opportunity to play a central role in national defense by ensuring that operations run smoothly for the Program Executive Office of Command, Control, Communications and Battle Management (PEO C3BM)

WORK LOCATION: Pentagon (Washington, DC) that requires on-site work 5 days a week.

WORK STATUS: Full-time; salaried

Responsibilities:

As the Executive Assistant and Office Manager, you will manage a broad range of senior-level administrative responsibilities while creating a positive, mission-focused experience for all staff and stakeholders. PEO C3BM is composed of approximately 3,000 Airmen, Civil Servants and Contractors in nearly a dozen locations across the country.

Your ability to keep the PEO's senior leaders organized and aligned will drive the success of those 3,000 people.

Duties include, but not limited to:

  • Calendar & Schedule Management: Coordinate scheduling in Microsoft Outlook for senior leaders to ensure alignment with mission priorities. This includes coordinating high-level meetings in the Pentagon and at other locations in the United States.
  • Networking: The Pentagon doesn't come with a user's manual. You will apply strong interpersonal and relationship-building skills to develop effective networks and meet PEO objectives.
  • Official Travel Planning: You may coordinate travel plans using the Defense Travel System (DTS).
  • Correspondence: You will work with the Executive Officer to review, format, and route incoming and outgoing correspondence for clarity, accuracy, and compliance with standards.
  • Personnel Support: You help in-process and out-process people who join and leave the organization. This includes maintaining rosters and coordinating access for facilities, software platforms and IT equipment.
  • Office Management: You will oversee and shape PEO-wide administrative processes by aligning a team of six administrative support personnel at the Pentagon and at Hanscom Air Force Base. Your expert guidance will ensure consistent, high-quality execution across the enterprise.
  • Liaison: You will serve as the communication hub between the General's office, senior staff, other DoD organizations, and external stakeholders.
Qualifications:

Citizenship: Must be a US citizen

Clearance: Must have an active US Top Secret clearance

Education: Bachelors Degree

Years of Experience: At least 10 years of professional experience that includes successful work supporting Executive Level leaders in support of critical missions.

Technical Skills

  • Expertise in Microsoft Office, including SharePoint, Teams, Word, Excel, PowerPoint and Outlook.
  • Schedule management. You will coordinate dynamic executive schedules with ever-shifting requirements. Tetris experts will love this part of the job.

Interpersonal Skills

  • Strong organizational skills and demonstrated attention to detail.
  • Professionalism and discretion in handling sensitive information.
  • Proactive Project Management. You don't need a PMP, but you will take the initiative to identify, organize and manage tasks to get the job done.
  • A calm, professional demeanor and an ability to multitask and adapt in a high-visibility, fast-moving office environment.
  • Demonstrated excellence in oral and written communication, with the ability to influence and guide cross-functional teams even though you do not have direct authority over them.
