POSITION SCOPE AND ORGANIZATIONAL IMPACT

Moss' Executive Assistant to the Senior Vice President of Solar Operations and Senior Vice President of Solar provides administrative duties while operating with a high degree of autonomy, demonstrating a significant degree of experience, discretion, and technical skills. The ideal candidate will manage communications, meetings, projects, and activities for the Senior Vice Presidents. They will rely on you to take a proactive role in ensuring these items are efficiently coordinated and tracked. In this role, excellent communication and collaboration are paramount. You will analyze situations and exercise sound judgment in determining appropriate courses of action.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Provide administrative support to the Senior Vice President and write correspondence and other communications on their behalf as needed

  • Coordinate and maintain scheduling of meetings, meeting spaces and appointments, manage video conferencing, and provide itineraries and reminders

  • Coordinate regularly with other Executive Assistants when needed, including offsite executive administrative meetings and/or lunches

  • Make travel arrangements and assist with expense reports when needed

  • Take extensive notes/dictation during meetings, accurately enter data, and distribute for recordkeeping and reference

  • Order materials, office supplies and food for executive and team meetings, as well as training events when needed. Research deals or suppliers. Manage all details and logistics of large team meetings and events

  • Coordinate, write, edit, and distribute electronic communications to team members and stakeholders

  • Perform other duties as assigned

EDUCATION AND WORK EXPERIENCE

  • Minimum 3 years' experience in an administrative position with at least 2 years at the executive level

  • Demonstrated ability to interact effectively and appropriately with high-level professionals and executive staff

  • Provides excellent customer service by responding promptly to customer requests, meeting commitments, and managing difficult or emotional customer situations

  • Exhibits good written communication skills including editing work for spelling and grammar and reading and interpreting written information

  • Exhibits basic verbal communication skills by listening and getting clarification when necessary and responding well to questions

  • Demonstrates consistent attendance and punctuality

  • Strong MS Office Suite skills

  • Excellent typing and data entry skills
