Overview:
The employee works within the scope of the contract to support senior office management to provide professional administrative support in the management operations of the office, relieving the Office Director and Division Chiefs of many administrative tasks.
Primary Responsibilities:
- Prepares and /or edits organizational charts, memos and other office documents and material as required for the Annual Diplomatic Security (DS) Planning Structure/DS Annual Report and Foreign Affairs Manual revisions.
- Utilizes MS Excel spreadsheets to input data and generate the office's portion of the DS Performance Measurement Reports.
- Compiles weekly activities reports obtained from division personnel to develop the final Office report for review and approval by the Office Director.
- Compiles, prepares and submits a Daily Activity Report outlining significant daily activities affecting the office. The report is provided to the senior level of Diplomatic Security Management.
- Compiles, prepares and submits Office Weekly Activity Reports that reflect the accomplishment of activities in support of the mission of Domestic Operations.
- Prepare reports on upcoming significant activities which will impact Domestic Operations in regard to support of Department Events.
- Other duties by assignment may include a variety of security-related administrative or operational tasks directed at establishing and sustaining specified levels of effectiveness in security and fiscal management and in responding to emergency conditions.
- Attends Bureau Planning Meetings to keep abreast of the anticipated changes in the Bureau and Department of State Policies.
- Maintains an effective working relationship with a broad spectrum of individuals in the Office/Bureau and Department.
- Prepares and submits Department Notices providing senior leadership with important information/notices, impacting domestic operations concerning the Department.
- Other duties as assigned.
Supervisory Responsibilities:
- Supervisory responsibilities are not anticipated.
Education and/or Experience:
- An associate's degree and five (5) years of experience related to management disciplines.
- A bachelor's degree is preferred. Seven (7) years of experience related to management disciplines can be substituted for the associate's degree.
Knowledge, Skills, and Abilities:
- Must possess an advanced understanding of and have an experience-based familiarity with administrative operations, project management, policy development, and senior level support services.
- Excellent writing ability, oral communications capabilities, and organizational skills are required.
- Must also possess an in-depth knowledge of the Department of State and its inner relationships as it applies to the overall mission of the Department of State.
Certificates, Licenses, Registrations:
Security Clearance:
- SECRET Level Required
- Must have a current US Government SECRET Personnel Security Clearance or be able to successfully complete a U.S. government administered Investigation.
- Must be a U.S. Citizen.
- Must also be able to maintain a US Government SECRET clearance.
