Summary: Reporting to the Director of Patient Care Services the Administrative Assistant provides a wide range of secretarial and administrative support services for one or more departmental managers/directors. Key job responsibilities include working on a variety of projects as assigned and under the general supervision of Newport Hospital*s Executive Leadership team (President Chief Medical Officer and Chief Nursing Officer). The Administrative Fellow will have exposure to the Executive Leadership Team and Senior Management throughout the duration of the fellowship. The Administrative Fellow will participate on special projects/teams and analyze and recommend changes in organizational systems procedures and policies and will pursue professional development activities to ensure currency with present practices and trends in health care administration. This one-year fellowship program will allow future healthcare leaders to forge their own path to learning and an opportunity to apply graduate study principles in the practical work setting of a fully integrated health care delivery system. This fellowship will be based out of Newport Hospital but there will be ample opportunities for involvement on system-wide initiatives. Responsibilities: Takes a leadership role in direct project work as assigned by the Executive Leadership Team. Participates on projects/teams as assigned to demonstrate leadership potential in areas such as:
Organizes key internal and external leadership meetings including but not limited to weekly Senior Management meetings and monthly Management Team Meetings. Builds positive external business relationships. May require attendance to external stakeholder events during business hours or during off-hours. Performs other job-related responsibilities as requested. PERFORMANCE STANDARDS: Ability to handle confidential information in a professional manner. Team oriented and able to work in a cooperative fashion with diverse groups of employees and affiliated staff across the organization. Excellent computer skills required. Working knowledge of Microsoft Office with a proficiency in Microsoft Excel and PowerPoint required. Possess and demonstrate excellent verbal and written communication skills engaging in direct open honest interaction with a willingness to listen teach and learn. Ability to present and communicate complex information. Exhibits effective listening skills. Advanced project management and strong organizational ability on large projects. Adherence to deadlines and strong problem-solving skills. High attention to detail. Committed to furthering their professional development in the healthcare management field.
Other information: QUALIFICATIONS -EDUCATION:
High school diploma (or equivalent) and successful completion of a post-secondary secretarial sciences educational program or comparable knowledge and experience. Proficient in the use of Microsoft Office software. Proficient in the use of a variety of office equipment. Excellent written and verbal communication skills. Excellent organizational and customer services skills. Minimum of three years comparable secretarial experience.
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:
Physical Requirements: Must be able to sit for 3-7 hours; stand walk twist bend squat and kneel infrequently. Must be able to lift 10-35 lbs with good body mechanics. Must be able to use both hands and perform work with moderate deviation from neutral wrist position with moderate hand/wrist repetitions. Must be able to perform frequent fine motor skills. Near and far vision must be accurate at 20/20 with moderate color discrimination and accurate depth perception. Must be able to hear whisper at 3 feet.
INDEPENDENT ACTION:
Incumbent functions independently within the department*s policies and procedures. Refers specific complex issues to director/manager when clarification of policies and procedures is required.
