Accounting Specialist

The Accounting Specialist will provide support to the Accounting Department. This individual will be involved in all aspects of accounts payable to ensure the timely and accurate processing of invoices, expense reports, journal entries, and disbursements. In addition, this role will be involved in other related accounting and financial projects, as needed. PLEASE NOTE: this position requires onsite presence.

The duties and responsibilities include, but are not limited to:

KEY RESPONSIBILITIES



  • Accurately process all types of invoices (non-po, 3-way match)
  • Match invoices with appropriate documentation for payment, including routing invoices for approval
  • Code invoices to the proper general ledger accounts
  • Reconcile vendor statements, research and correct discrepancies
  • Data entry/upload transactions into ERP system
  • Prepare approved disbursements for processing
  • Assist with month end closing, ensuring completeness and accuracy of entries
  • General ledger reconciliations
  • Identify issues with invoices and manage to resolution
  • Respond to requests for information in a timely and efficient manner, including prompt email responses
  • Review monthly outstanding checklist for follow up and resolution, including the handling of any needed escheatment processing according to state regulations.
  • Assist in preparation and processing annual 1099s
  • Assist with customer payments processing
  • Assist with mailing and emailing of customer invoices
  • Contribute to the team and company success by having an ownership mentality, fulfilling job responsibilities and assignments with integrity, confidentiality, and accuracy
  • Assist with other Accounting & Administrative related projects as needed
  • Any other duties as assigned


QUALIFICATIONS



  • 3+ years Accounts Payable or general accounting / bookkeeping experience
  • Associate degree or equivalent experience
  • Intermediate MS Excel user (pivot tables, vlookup, sumif, etc.)
  • Experience with accounting / ERP systems / General Ledger
  • Experience using Microsoft Outlook and Word
  • Strong attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Excellent problem solving and analytical skills
  • Effective written and oral communication skills
  • Ability to stay organized and follow up with employees, managers, vendors, or any others, as needed, in a timely manner.
  • Models and consistently exhibits a high level of customer service and builds good employee and business partner relationships
