About the Role:

The Executive Coordinator provides high-level administrative support to the Executive Director and Human Resources, ensuring efficient daily operations, effective communication, and seamless coordination of schedules, meetings, and projects. This role requires exceptional organizational skills, discretion, and professionalism in handling sensitive information while supporting executive leadership and HR functions. This position is based in Fort Wayne, IN.

Key Responsibilities:

Administrative & Executive Support:

  • Manage and coordinate calendars, meetings, and travel arrangements for the Executive Director and Human Resources Director.

  • Prepare agendas, materials, and minutes for meetings, ensuring follow-ups are tracked and completed.

  • Draft, edit, and proofread correspondence, reports, presentations, and other documents as needed.

  • Act as the primary point of contact between executives and internal/external stakeholders.

  • Maintain filing systems and records, both digital and physical, ensuring confidentiality.

Human Resources Support:

  • Assist the HR Director with administrative tasks related to employee onboarding, benefits coordination, and compliance tracking.

  • Maintain personnel files, HR databases, and ensure accurate documentation.

  • Help coordinate HR-related events, training sessions, and meetings.

  • Assist with recruitment activities, including scheduling interviews and corresponding with candidates.

Project Coordination & Special Initiatives:

  • Support company-wide initiatives and projects by managing deadlines, tracking progress, and coordinating with stakeholders.

  • Conduct research and compile data for executive decision-making.

  • Assist in preparing reports, presentations, and documentation for board meetings, leadership updates, and HR initiatives.

Office & Event Coordination:

  • Plan and organize company meetings, retreats, and events, ensuring smooth execution.

  • Liaise with vendors, service providers, and office staff as needed.

  • Maintain office supplies inventory and place orders as required.

    • Appropriate level of understanding of the business, third-party accredited conformity assessment system and value-added assessment services, including personnel involved in the process, outside influencers, etc.

    • Understanding of quality principles, continuous learning, customer focus and service, and teamwork and partnering skills.

  • Technical skills

    • Proficient with Microsoft Office applications.

    • Proficient keyboarding skills.

    • Proficient with ANAB platforms.

    • Problem Solving: Strong problem-solving abilities and proactive mindset.

  • Autonomy

  • Fulfills responsibilities with reasonable oversight under the direction of a Director of Human Resources or above.

Education & Experience:

  • High school diploma or equivalent is required. At least 2 years of experience in an administrative or executive support role, preferably in a corporate or HR environment, is required. Event planning and coordination experience a plus.

Work Environment:

  • Office environment. Occasional overnight domestic travel may be required. This position is not amenable to working remotely without prior approval.
