JOB SUMMARY
Under general supervision, the CIED Operations Manager uses professional concepts to apply organizational policies and procedures to oversee a variety of ongoing administrative operational issues, administers a defined operational program and analyzes and resolves problems. The CIED Operations Manager is responsible for overseeing the administrative services of CIED and reports directly to the Faculty Director. The administrative responsibilities under the purview of this position include the following areas; financial oversight, event planning and logistics, support of Entrepreneurship training programs (in coordination with Crown College) and fundraising support. The CIED Operations Manager works with all levels of the University from upper administration to students as well as with community members.
APPOINTMENT INFORMATION
Budgeted Salary: $92,550 - $108,100/annually. Salary commensurate with skills, qualifications and experience.

JOB DUTIES
25% - Administration and Program Planning and Support
- Creates administrative systems to manage CIED programs and initiatives such as grants research and compliance, internship programs, and tracking for student certificate progress. Works with the Office of Registrar in developing student certificate progress tracking systems.
- Coordinates CIED programs and initiatives, such as research, mentorship programs, academic initiatives, student teaching, outreach programs and initiatives and creates new administrative procedures for such programs
- Coordinates communications for Faculty Director and Program Manager, including calendaring, and general Faculty Director's office email. Edits documents for correct grammar, punctuation, and spelling and formats final copy to conform to campus standards.
- In the capacity as the official CIED Record Keeper, maintains CIED filing system, following campus policies on confidentiality, privacy, and records retention.
- Assists Faculty Director, Program Manager, faculty, and private partners in the research and development of the CIED Studio: A Co-working Hub for Student Entrepreneurs and future Start-Up Incubator; creates management systems and serves as manager of incubator and studio serving faculty, students, private partners, and clients.
- Provides support to the Faculty Director and Program Manager in the development of longer-range and strategic plans.
- Supports the Program Manager's supervision of student staff and interns, may supervise student staff.
20% - Event Management
- Acts as manager for CIED and partnered programs, lectures, and special events.
- Works extensively with student partners such as Student Creativity Empowerment and Entrepreneurship (SCEE) and Santa Cruz Works to develop programmatic cooperation and provide logistical support across events.
- Assists with event publicity and press releases. Leads the development of all marketing materials.
- Coordinates event logistics; e.g. venue, catering, etc...
20% - Fundraising, Grant and Sponsorship Research
- Works directly with UCSC Career Center in supervising CIED intern program(s), Community Foundation of Santa Cruz to provide grant opportunities to the CIED Faculty Director and Program Manager; develops new partnerships at UCSC, across the UC system, and in the greater community.
- Works with outside partners to obtain sponsorships.
- Track current and past student engagement for fundraising and promotion
- Cultivate annual giving.
15% - Financial Support
- Works with Financial Analyst and Budget Coordinator as well as UCSC Department Financial Affairs departments to create invoicing and payment systems.
- Requests purchase orders for programs, services, and materials using the campus Cruzbuy system.
- Makes online and off-campus purchases for CIED.
- Creates and processes expenditures and reimbursements, entertainment, travel, honorarium, and equipment rental. Advises faculty and staff regarding policies and procedures as needed.
- Develops guidelines and processes for awards, coordinating with units across campus. Creates payment and recording systems and facilitates both program awards and contest payments.
- Processes payments and prizes for events
10% - Curriculum Planning and Development
- Works closely with Crown College and outside partners, assists with the delivery of courses, programs, and certificate development with the Faculty Director and Crown Provost.
- Facilitates delivery of CIED program at Crown College by serving as contact for CIED with Crown College in curricular matters.
- Provides information to Crown CAM to support the development and approval of new program courses.
- Works with Crown's CAM to oversee the quarterly schedule of CIED classes and teaching assignments.
- Works with Crown Preceptor to oversee and track CIED/Crown course enrollment.
10% - Academic and Staff Human Resources
- Works collaboratively with Crown College CAM and the academic personnel office (APO) in the faculty recruiting and hiring processes.
- Assists the recruitment and application process for new CIED program faculty into the Crown College system and assists new faculty hires with onboarding.
- Assists with training and supervision of CIED interns and serves as liaison between CIED and UCSC Career Success.
REQUIRED QUALIFICATIONS
- High school diploma or equivalent experience
- Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
- Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
- Strong skills in short-term planning.
