Widener University is currently seeking an Admissions Event Manager in the Office of Admissions Reporting to the Senior Associate Director of Admissions, the Event Manager will support the Admissions office by planning, executing and implementing events including but not limited to, open houses, admitted student days, academic workshops, group visits, receptions, and virtual events. This role will play a key part of designing and implementing events that align with the University strategy for admission and belonging. Many of these large-scale events require campus-wide collaboration for audiences of various sizes.

Admissions events are a critical component of the admissions recruitment process. The Event Manager plays a key role in creating a welcoming campus experience for prospective students, guests, and visitors by coordinating logistical aspects and event planning for centrally managed recruitment events for prospective first year and transfer students, their families, and Counselors.

The Event Manager is part of a cohesive undergraduate admissions recruitment team, with high level of team collaboration and enthusiasm. This role will work closely with the Campus Visit Coordinator and student ambassadors as part of the Guest Experience team within the Undergraduate Admissions Office

DUTIES AND RESPONSIBILITIES (including, but not limited to):

Essential duties:



  • Plan on and off-campus admission recruitment events, including but not limited to, location, room set-up, catering, equipment, travel logistics, third party vendor transactions, and event participants
  • Plan on and off-campus regional events including Presidential receptions, scholarship receptions, group visits, school or counselor visits.
  • Collaborate and build relationships with faculty, students, and staff to facilitate and enlist event participation
  • Create, analyze, and summarize event surveys
  • Manage event expenditures, supplies, and inventory which may include assessment of registration updates/participation, expense and logistics evaluations, among other areas of consideration
  • Use event management components of CRM system to track all event related activity and planning


Secondary responsibilities:



  • Support planning of larger scale Admitted Student Days, Widener Days, and Academic Workshops
  • Interface with university ambassadors
  • Other duties as assigned


MINIMUM QUALIFICATIONS (education/training and experience required):

Required:



  • Bachelor's degree in related field with 2+ years in a customer service, administrative or planning support role
  • Demonstrated experience in event planning
  • Exceptional customer service skills
  • Experience with high level interaction with prospective students and families
  • Strong project management skills with an ability to manage concurrent projects
  • Demonstrated ability to execute work with a high level of detail
  • Ability to adjust and be flexible in changing situations by
  • creating alternative solutions.
  • Demonstrated proficiency utilizing various software to accomplish work
  • Commitment to diversity and inclusion and ability to communicate with populations of diverse backgrounds
  • High level of self-management and the ability to innovate and solve problems
  • Comfortable working in a fast-paced environment. Demonstrated proficiency MS Office experience including Word, Excel, Outlook and PowerPoint


Preferred:



  • 2+ years' experience in admissions or event planning or management
  • Experience in customer service
  • Experience in Higher Education
  • Experience in contributing to a climate of inclusivity and working with a diverse student body
  • Familiarity with Slate CRM
  • Familiarity with Colleague Student Information System


PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:



  • Valid driver's license and proof of insurability
  • Ability to work early mornings, evenings, and weekends in support of events
  • Must be able to sit and work at a computer for 2+ hours minimum at a time.
  • Ability to stand and move between buildings at recruitment events, and provide walking tours when necessary.
  • Must be able to lift up to 25 lbs.
