POSITION SUMMARY
The Accounts Payable and Billing Associate is responsible for all aspects of the Accounts Payable process. This includes reviewing and processing check requests, working with staff to submit all supporting documentation on a timely basis, entering all vendors on the ACH payment system in our accounting software, and reconciling payables to the financial statements each month. In addition, the Accounts Payable and Billing Associate will be assigned certain billing duties, as noted below.

Schedule: Full-Time. Generally, Monday - Friday Office hours.
Estimated Salary/Pay: $21.25 to $25.00 (depending on experience & qualifications).

ESSENTIAL DUTIES AND RESPONSIBILITIES
Accounts Payable
- Responsible for all the data input, vendor payment (check or ACH payment), company credit cards and oversight involving the accounts payable process.
- Managing our new AP software add on.
- Setting up direct deposits for staff and vendors in a timely manner.
- Ensure check requests are properly prepared and approved, confirming required receipts or other supporting documentation is included. Support staff to ensure accurate check requests and mileage statements with appropriate approvals.
- Ensure timely payments of vendor invoices and employee expense reports. Accounts Payable payments are made on a weekly basis (Fridays). Maintain Positive Pay reporting from Bremer Bank, accurate accounting records, and monthly reconciliation reports. Perform month-end closing of accounts payable.
- Manage the accounts payable activities, such as sending follow-up inquiries for receipts, attaching new contracts, tracking gift card logs, and backup to insure the accurate payment of invoices and other related bills.
- Oversee the accounts payable subsidiary ledger to ensure that duplicate vendors are eliminated.
- Secure W-9 forms for all existing and new vendors electronically process the year-end Miscellaneous 1099 Forms.
- Assist Senior Manager of Finance with the accumulation of information for the year-end audit.
- Maintaining appropriate electronic filing system, ordering check-stock inventory, and Finance Department office supplies.
Billing
- Support the cash receipts process by reviewing and approving regular deposits made by the Accountant II.
- Perform other billing tasks as needed.
General Duties
- Provide back-up support for grants billing process as needed.
- Promote the mission, operating values, and agency services of CLUES within the community.
- Maintain client confidentiality in accordance with HIPAA, agency policies and other applicable laws, regulations, and ethical standards.
- Carry out all other duties as assigned by supervisor.

QUALIFICATION REQUIREMENTS
Education, Experience & Key Abilities*
- Bachelor's degree (B.A.) from a four-year college or university or two years' experience, or equivalent combination of education and experience.
- Strong customer service and interpersonal communication skills required.
- Must be highly proficient with computer technology and knowledgeable in basic computer troubleshooting.
- Must be well organized and capable of multi-tasking efficiently.
Language Skills
- Effective communication in English, both verbally and in writing, required.
- Ability to read, analyze, and interpret written materials, including reports, contracts, and proposals. Must be able to read and analyze and interpret accounting, contract and governmental regulations and requirements.
- Ability to effectively present ideas and information in an organized and effective manner, including writing reports.
- Ability to maintain accurate documentation and respond appropriately to questions from clients, co-workers, management and external parties.
Computer Skills
- Proficient working knowledge of email software, the Internet, databases, and common Windows-based programs, including Microsoft Office Word, Excel, Teams and PowerPoint required.
- Experience with accounting software like Paycom and Sage Intacct.
- Must be willing to attend training to advance technical skills and maintain appropriate skill levels to perform job duties.
