We are seeking an Administrative Assistant to provide high-level administrative support to executive leadership and to our Miami site. Key Responsibilities:
- Provide administrative support to executive leadership, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Coordinate and support external visitors to the Miami site.
- Prepare, edit, and proofread documents, presentations, and reports.
- Manage and maintain day-to-day office operations, including supply ordering and inventory management.
- Organize and support site events and internal functions.
- Maintain confidentiality and handle sensitive information with discretion.
- Build and maintain relationships with internal and external stakeholders.
- Anticipate and proactively address the needs of executive leadership to ensure schedules and priorities are efficiently managed.
- Continuously identify opportunities to streamline office processes and improve workflows.
- Prepares PowerPoint presentations as well as financial, statistical, narrative and/or other reports, as requested.
- Provide support with SharePoint relevant to the needs of executive leadership.
- Take on additional projects and responsibilities to support the overall success of the executive office and the company.
Qualifications: Required
- High School graduate with 3+ years of administrative experience.
- Excellent written and oral communication skills.
- Excellent computer skills, including experience with PowerPoint presentations, Outlook, Teams and Concur.
- Demonstrated excellence in organization, coordination, and confidentiality.
- Ability to multi-task, and quickly pivot between changing priorities, keeping a positive attitude and fostering team spirit.
Preferred
- Associates, bachelors or advanced degree.
- Demonstrated experience and success with basic data analysis and success with project management.
